Job overview

An opportunity has arisen for an organised, motivated and proactive Care Group Secretary to join our Doncaster Mental Health & Learning Disabilities Care Group. This key role provides high‑quality, confidential administrative support to our Service Managers and wider Leadership Team.

Main duties of the job

You will deliver a comprehensive secretarial service, including diary and email management, preparation of documents, coordination of information, and facilitation of meetings—producing accurate minutes, agendas and action logs. The role is varied and fast‑paced, requiring excellent organisational skills and the ability to manage competing priorities while maintaining a professional and responsive service.

As a first point of contact for staff, service users and partner agencies, you will demonstrate strong communication skills, discretion and a commitment to excellent customer care. You should be confident using Microsoft Office and able to work independently as well as part of a wider administrative network.

The post also supports recruitment and induction processes, collation of data, maintenance of records and supporting improvements to administrative systems across the Care Group. Flexibility is essential, and the ability to travel between local sites is an advantage.

Qualifications

Essential criteria
  • Educated to NVQ 2 level or equivalent in appropriate subject e.g. Business Admin
  • RSA II Typing or equivalent experience including autonomous working
  • RSA Stage II Audio Typing Qualification or equivalent
  • Good standard of education (minimum 5 GCSEs, including English and Maths or equivalent desirable)
Desirable criteria
  • ECDL or equivalent qualifications

Experience

Essential criteria
  • Demonstrable experience of working in a busy environment, office procedures, and workload management
  • Experience of office procedures, i.e. filing, photocopying, message taking, typing
  • Experience in accessing internet/email facilities
  • Experience of liaising with staff across different disciplines
Desirable criteria
  • Previous NHS experience or other large public sector organisation would be an advantage
  • Experience of supervising/leading a team

Knowledge

Essential criteria
  • Knowledge and experience of using Microsoft Office applications
  • Thorough understanding of confidentiality and security of information
Desirable criteria
  • Use of online patient record system such as SystmOne would be an advantage

Skills

Essential criteria
  • Possess excellent verbal and written communication and presentation skills, with the ability to employ these to maintain effective relationships
  • Ability to work as part of a team or on own initiative and unsupervised at times
  • Ability to work under pressure and to strict deadlines
  • Flexible and adaptable approach
