Job overview

To work as part of a team under the direction of the Clinic Manager, providing clerical support to enable the smooth running of clinic

Main duties of the job

To liaise with patients, clinical staff, GPs and Trust support staff in person, via telephone and email to obtain clinical information as and when necessary

Provides admin support to different clinical teams such as Anaesthetic and nursing teams.

Dealing with telephone enquiries and taking accurate messages as appropriate

To act as Receptionist for clinic. Receive patients, verify identity and update the personal data on both Medway computer system and medical records as appropriate.  Issuing case notes to clinic, medical and nursing staff. 

To prepare case notes prior to clinics and admission for surgery, ensuring that the relevant stationery is inserted, ensure notes are up to date and that all relevant investigation reports from previous attendance are in place.

Ensure patient records are appropriately received and transferred and trace all notes into and out of the ward

Essential criteria
  • • Previous reception or customer facing experience in a healthcare or public setting
  • • Clerical/administration experience including filing and/or reception
  • • Excellent/professional telephone/ reception manner
  • • Flexible approach to duties
  • • Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy
  • • Able to communicate clearly and act quickly in emergency
  • • Good IT skills including Microsoft packages
  • • Tidy and methodical working practice
  • • Attention to detail
  • • Ability to work effectively in a busy team, adjust to change and motivate others
  • • Ability to work independently and as part of a team take instructions from nurse in charge
  • • Confidence to handle difficult conversations with patients, relatives and carers
Desirable criteria
  • • Previous NHS experience
  • • To have a basic understanding of medical terminology
  • • IT skills/ Transcribing from dictations desirable only
