Job overview

An exciting opportunity has arisen to join the Trauma & Orthopaedic department based at Gloucester Royal Hospital. We are a large department covering Cheltenham General, Gloucester Royal and numerous community sites. This job offers the opportunity to work with a dynamic multi-disciplinary team in a interesting and varied role, working closely with Consultants, Matrons and the General Management team.

The successful applicant will manage all rota’s within the department to include covering the on call and ward teams, coordinating theatre and outpatient sessions, adapting clinicians timetables to meet service needs, examining admin/clerical systems and processes to continuously improve services and put forward proposals for organisational re-structuring to maximise services by providing appropriate staffing levels. 

Main duties of the job

- Ensure efficient and effective cover for all Theatre Lists and GRH Fracture clinics, source additional capacity for New Fracture clinics, finding additional post up follow up slots when needed.

 -Setting up new clinics both Elective and Trauma.

- Responsible for Coordinating all Consultants/Doctors annual/Study leave and sickness/absences.

- Managing all of the departmental Rotas to ensure all areas are covered

Detailed job description and main responsibilities

Admin/Management 

- Management of medical leave, adhering to local annual leave policy 

- Management of medical staffing rotas in conjunction with clinical leads 

- Covering and backfilling Theatre sessions/clinics 

- Setting up clinics and clinic utilisation 

- Management of Band 4 supervisor

- Facing a complexity of urgent issues on a daily basis. 

- Managing demands from Trauma intake 

- The work pattern is extremely unpredictable due to constant interruptions and having to deal with urgent issues as and when they occur. 

Organisational and Development 

- To examine admin/clerical systems and processes to continuously improve services. 

- Put forward proposals for Organisational re-structuring to maximise services by providing appropriate staffing levels. 

- Take the lead for various projects as required by divisional management 

Communications and Working Relationships 

- General Managers/ Assistant General Managers 

- Administration/Clerical and Secretarial staff 

- Consultants and multi-disciplinary teams 

- Trauma Coordinators 

- Ward Clerks 

- Medical and Nursing staff 

- IT Services 

- Health Records Staff

Person specification

Qualifications

Essential criteria
  • 5 GCSEs including a C or above in Maths & English
Desirable criteria
  • Leadership Course

Experience

Essential criteria
  • Experience working as team leader or supervisor within the NHS
  • IT skills, including Microsoft Office applications, Outlook, Patient Access Systems (EPR/TrakCare), ESR
  • Awareness of national and local waiting time targets and data quality issues
  • Effective organisational skills including a high level of accuracy
Desirable criteria
  • Experience of training individuals

Knowledge/ Skills

Essential criteria
  • Excellent prioritisation skills
  • Able to work under pressure to meet deadlines
  • Excellent communication, responsiveness, interpersonal, negotiating and influencing skills, both written and verbal to lead and support staff through change processes
  • Ability to make independent decisions using own initiative in a fact paced environment
  • Confident in conflict management and resolution
