Job overview

We are a supportive and friendly team who work with adults with disorders of communication and swallowing, in Guildford and Waverley.  We see patients in a variety of settings - their own homes, care homes, via video-calls, in outpatients or on the wards at Milford and Haslemere Community Hospitals.  We work with patients who have conditions such as Dementia, Parkinson’s Disease and Motor Neuron Disease.  We have regular team meetings and learning/development opportunities.  The team consists of five Speech and Language Therapists, one assistant and this administrator role.

Main duties of the job

This role involves providing comprehensive administrative support to the Speech and Language Therapy Team and some support to the Clinical Coordination Centre at Milford Hospital.   You will be the first point of contact for all enquiries to the service: this might be calls from patients, families and carers of people with communication and swallowing difficulties.  The administrator is responsible for the team’s shared email folders and online diary management.  Training will be provided so that the administrator can manage all the referrals and patient lists on EMIS (the electronic patient record system).  The Speech and Language Therapists will send administrator tasks that will support their clinical management of patients with speech and swallowing problems.  This role includes assisting organisiation of the online training provided by the service to care homes through Microsoft Teams.   You will be supported by attending team meetings and one-to-ones and have an annual appraisal.

Essential criteria
  • Good standard of education up to GCSE level or equivalent
  • High level of IT skills, including advanced use of Microsoft Office packages and good understanding of computer data processing

Knowledge

Essential criteria
  • Experience of spreadsheet, database, word processing, email and presentation computer packages
  • Experience of providing administrative support to a team, including prioritising delegated tasks and working to a deadline
  • Good working knowledge of administrative and secretarial practice
  • Experienced in customer-facing roles including face to face and telephone duties.
  • Good presentation skills both written and verbal
