At the heart of many of our administrative roles is direct contact with patients – whether face to face or over the phone. These roles are vital in creating a positive experience for everyone who walks through our doors.
Our sites are busy and fast-paced, so adaptability and a positive approach are essential. As we operate within a hospital environment, many roles are full-time or require flexibility in working hours.

We’re recruiting for several administrative positions across our hospital locations. In many of these roles, you’ll be the first point of contact for patients and visitors, so customer service skills are essential. You’ll be welcoming patients, answering queries, coordinating appointments, and acting as a friendly, reassuring presence in a fast-moving healthcare environment.

As we are recruiting to several different roles, we can’t list every task you will undertake, but these are an example of the kinds of things you will be responsible for:
• Provide great customer service to patients, staff, visitors and external partners. This will include answering phone calls, emails and face-to-face queries.
• Keep our electronic/manual records and databases in great shape through accurate inputting, scanning and filing
• Coordinate and schedule appointments, meetings and events
• Help our patients check in for their appointments, dealing with patient enquiries and ensuring follow up appointments are organised.
• Handle correspondence and communication with flair.
• Assist in the preparation of reports, presentations and other documents.

Duties include:
- Communicate with a range of staff, patients and visitors to the Trust / Department
- Provide a friendly and welcoming meet and greet to visitors and patients
- Provide reception duties, welcoming patients, booking them into appointments
- Utilise a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request.
- Organising incoming and outgoing post, referring enquiries to appropriate person if necessary.
- Responding to external and internal telephone queries from staff / patients internal and external stakeholders
- Producing letters, documents and correspondence
- Filing and scanning of records, notes and reports accurately
- Management of email systems
- Organising clinics/booking appointments, activating and discharging appointments and managing waiting lists.
- Data Entry using Trust IT systems and appropriate packages ie MS Word and Excel
- Ad hoc administrative duties as required

Qualifications & Education

- Good general level of education
- Effective numeracy & literacy skills

- RSA Level 2 or equivalent qualification / experience
- Audio typing skills
- NVQ/Diploma in Administration
- GCSE English and Maths (Grade C or above) OR Functional/Key skills Maths and English Level 2
Knowledge & Experience

- Administrative skills
- Previous experience of working with a customer service environment.
- Aware of the concept and application of confidentiality
- Proven IT skills e.g. Microsoft Outlook, Excel, Word.
- Previous experience of call handling in a busy environment

- Previous experience of working in the NHS or a health care related setting.
