We also provide some specialist services that are commissioned regionally, such as our medium secure services; and nationally, such as the Cassel Hospital for people with complex and severe personality disorder and our high secure services at Broadmoor Hospital.

We are looking for a Full Time Team Administrator who will support delivery of a modern, effective, patient-focused administrative service within a fast-paced and supportive environment.

 

Hounslow Talking Therapies are proud to serve diverse communities. Our service is expanding and has an exciting opportunity for an enthusiastic and organised Team Administrator to join our professional team, providing comprehensive secretarial and administrative support to our psychological therapies team and service.

 

Individuals will be supported by a friendly and experienced management team. With approximately 65% of the workforce from BAME backgrounds, the service prides itself on being both diverse and inclusive. We are seeking to recruit individuals who welcome an exciting challenge and want to make a significant contribution to the community.

Main duties of the job

The successful applicants will have good organisational skills, be able to work effectively within the team and have a polite and sensitive approach to people with mental health difficulties.

 

The post holder would work from the service’s main base at the Isleworth Centre and would be able to commit to 9am – 5pm , Monday to Friday.

 

The ability to speak Urdu, Punjabi or Hindi would be helpful.

 

Computer literacy, good communication, interpersonal skills as well as previous experience of working with large client databases are essential.

 

The role is varied and duties include:

 Registering referrals

 Booking assessment and treatment appointments

 Dealing effectively with telephone calls, emails  and visitors.

 Data entry

 Taking minutes at meetings

Qualifications & Training

Essential criteria
  • Literate and numerate 5 GCSE grade C or above inc English,
  • NVQ 3 admin/customer care or RSA 3/AMSPAR or equivalent experience.
  • CLAiT Level 3 or equivalent experience
Desirable criteria
  • Diploma in administration or business

Experience

Essential criteria
  • Admin/secretarial experience in a customer care environment (approx) 3 year
  • Experience of working effectively with a large team across various sites.
  • Highly competent user of MS Office Word, Excel; Email, internet
  • Experience dealing with public face to face and on phone
  • Experience of using large databases e.g. Patient information systems
  • Arranging appointments and bookings for: clinics, large meetings and workshops
  • Electronic diary management
  • Taking and transcribing minutes
  • Using initiative and problem solving/improving office systems and procedures
Desirable criteria
  • Working in a Healthcare setting
  • Competent Powerpoint
  • Database searching/analysis
  • Experience of using the IAPTus patient management system

Knowledge

  • Able to empathise/communicate and deal with enquiries from diverse range of service users
  • Ability to organise own work, prioritising to meet deadlines and to use initiative
  • Good verbal/written skills, including the ability to compose letters and emails e.g. letter templates.
  • Ability to switch tasks at short notice and deal with non-routine enquiries
  • Ability to understand electronic booking systems
  • Good time management skills
