The Facilities Support Officer (Operations) provides administrative and operational support to ensure the effective delivery of Facilities services across University Hospitals Plymouth NHS Trust, with a particular focus on car parking administration, staff identification badges and security-related processes.
 
The post holder manages key systems and records, responds to staff, patient and visitor enquiries, and supports compliance, reporting and service improvement activities. Working closely with internal departments, contractors and external partners, the role contributes to safe, efficient and customer-focused service delivery that supports the Trust’s operational objectives and enhances the patient and staff experience.

The Facilities Support Officer (Operations) supports the Facilities Operations Managers and wider Facilities team in delivering safe, efficient and customer-focused services across the Trust.
 
The post holder is responsible for administering the Trust's car parking permit systems and staff identification badge service, ensuring records, processes and communications are accurate, effective and compliant with Trust procedures.
 
The role also provides administrative and operational support across Facilities services, including risk and incident monitoring, CCTV administration, procurement support and responding to enquiries from staff, patients, visitors and external organisations.

The post holder will:

  • Support the Facilities Operations Managers and the wider Facilities team, both internal and contracted, to deliver excellent key performance outcomes, ensuring that services are safe, fit for purpose and enhance staff and patient experience and care.
  • Take responsibility for administering the Trust's car parking permit systems and providing an efficient, customer-focused service.
  • Effectively manage and monitor the University Hospitals Plymouth NHS Trust staff identification badge system.
  • Provide administrative and operational support to Facilities operational services and the wider Facilities team to ensure the efficiency and effectiveness of the function and support the delivery of a cost-effective service.
  • Support the delivery of the corporate aims, objectives and aspirations of the Directorate and the Trust.
  • Assist the Facilities Operations Managers and wider Facilities team in reviewing Directorate risks and incidents, ensuring they are appropriately monitored and maintained.

Qualifications

  • • NVQ Level 3 in Business Admin or equivalent plus demonstrable experience or proven knowledge in similar role
  • • GCSE (A-C) English and Mathematics

Knowledge & Experience

  • • Have undertaken a wide range of administrative duties
  • • Be competent in the use of Microsoft Office packages including excel.
  • • Extensive demonstrable experience of managing systems-based processes and databases
