This post forms part of a service currently subject to a service improvement and redesign programme. Service delivery models, roles and structures will be reviewed as part of the improvement process,  which may result in changes and a consultation process in line with the  Trust’s Organisational Change Policy.

As a Deputy Admin Lead, the core function of the role will be to provide a comprehensive administrative, office support and project support function to the Management Team within Children and Young People Mental Health Service  

Main duties of the job

This role will support the management of a high quality and highly efficient administrative workforce within the locality. You will lead on managing, co-ordinating and ensuring cross cover of administrative staff across the Children and Young People services. 

You will be innovative, forward thinking and be creative with an inclusive approach towards problem solving and service development. 

The post holder will deliver on key responsibilities -

As a Deputy Admin Lead, you will establish, monitor and develop the required administrative procedures / SOPs and systems required for Children and Young People services.  

Produce Data as required by Teams, Managers on a day to day basis. 

You will work closely with the Head of Clinical Service, Clinical Lead/Service Manager and Team Leader to support with contract management for Children and Young People, Quality Tool and Contracts to maintain performance for the wider service  

You will organise your own workload and work within established policies, procedures and guidelines.

Qualifications

Essential criteria
  • NVQ4 in Business Administration or equivalent
  • NVQ 2 in Customer Services.
  • Diploma in business studies or business administration or equivalent and/or willingness to work towards.

Knowledge

Essential criteria
  • In depth knowledge of the service, site and users.
  • An understanding of the NHS current agenda and challenges

Experience

Essential criteria
  • Proven ability to manage staff
  • Handling confidential and sensitive information in accordance with DPA.
  • Design and development of standard and bespoke data reports
  • Proven use of office systems, with advanced use of Microsoft Office, i.e. MS Word, PowerPoint, Outlook and Excel.

Skills

Essential criteria
  • Excellent written and verbal communication skills including solid presentation skills.
  • The ability to plan and organise own workload and work autonomously.
  • Proven standard of word processing skills, with a high standard of presentation and accuracy.
