Job overview

To provide comprehensive, high-quality administrative and clerical support to the Integrated Community Paediatric Service (ICPS), ensuring the effective coordination of processes and delivery of services across the team.

The postholder will facilitate effective communication and liaison between the Local Authority, health professionals, carers and partner agencies to support the health needs of Looked After Children (LAC) and ensure statutory requirements are met.

The role includes providing confidential administrative support to the Named Doctor for LAC and supporting LAC doctors in their responsibilities as medical advisers to fostering and adoption panels, including the coordination and preparation of documentation, reports and follow-up actions.

The postholder will coordinate and collate information from multiple agencies and professionals to support statutory processes relating to fostering, adoption, Education Health and Care Plans (EHCPs) and the Bolton Social Communication Interaction Panel (BSCIP), ensuring statutory deadlines are achieved and workload priorities are effectively managed.

The role also involves extracting, compiling and preparing data for audits, dashboards, surveys and reporting purposes, alongside supporting the smooth and efficient operation of administrative systems within the Process and Coordination Team in conjunction with the Team Leader.

We kind ask that previous applicants do not apply on this occasion.

Main duties of the job

  • Provide comprehensive administrative and coordination support to the Integrated Community Paediatric Service (ICPS) and Process & Coordination Team.
  • Act as a key point of contact for enquiries relating to Looked After Children, liaising with social workers, carers, health professionals and partner agencies.
  • Coordinate and support statutory processes including fostering and adoption panels, Initial Health Assessments, EHCP processes and BSCIP administration.
  • Manage appointments, meetings, diaries and documentation for Named and Designated Doctors, ensuring statutory deadlines are met.
  • Maintain accurate and confidential patient records, databases and administrative systems in line with data protection requirements.
  • Prepare correspondence, reports, dashboards, audits and data analysis to support service monitoring and performance reporting.
  • Prioritise and manage workload independently to support the efficient running of the service and delivery of high-quality support to vulnerable children and young people.

Working for our organisation

We have a long and proud history of caring for generations of local people and can trace our roots all the way back to 1814 with the first hospital in Bolton – the Bolton Dispensary in the town centre.

Bolton NHS Foundation Trust was formed in 2008 and, in 2011, we became an integrated provider with community health services joining the trust. Covering a catchment area that also incorporates parts of Bury, Wigan and Salford, we deliver hospital and community based services from the Royal Bolton Hospital in Farnworth and from 20 health centres across Bolton, to a catchment population of 310,000+ people.

The Royal Bolton Hospital is a major hub within Greater Manchester for women’s and children’s services and is the busiest single ambulance-receiving site in Greater Manchester.  We’re structured in four clinical divisions – Community Services, Families and Diagnostics, Medicine, and Surgery and are led by a Board of Directors. As an NHS Foundation Trust we’re accountable to our members and have a Council of Governors to represent the views of patients, public, staff and partners.

Buildings, names and models of care have changed over the centuries, but one thing has remained constant and is prevalent among our 6,718 staff members: the enduring commitment to providing the best health and care for the people of Bolton.
