Main duties of the job

This is an exciting opportunity to join our team as a  Team Leader in the Complex Medical Retina Team within Ophthalmology. We have world leaders in developing and managing retinal diseases as part of our clinical team.

This role would be ideal for someone with great organisational skills, who enjoys problem solving and is looking to work in a team that provides essential lifetime support for patients with retinal conditions requiring ongoing treatments.

The service provides injection therapies and laser treatments alongside standard clinic visits. There are a high volume of patients reliant on the service and as their pathways change due to disease progression, an ability to modify how service delivery is achieved is essential.

You would be responsible for managing a team of band 2 and 3 administrative clerks with a variety of experience  within their roles.

You will directly report to the Operations Coordinators, Operations Manager and will be expected to partake in meetings with the Care Group Management Team.

The Complex Medical retina Administration team work very closely with the clinicians, imaging and nursing teams to provide a first class service for our patients.

Detailed job description and main responsibilities

The successful candidate will be responsible for
a) Leading a team of administrators.

b) The smooth running of the patient journey by ensuring that co-ordinated and streamlined administrative processes revolve around the patient and their individual needs.

c) Providing cross-cover for other Team Leaders to ensure a consistent and effective administration service is maintained at all times.


As this role requires interactions with multiple teams, good communication skills is essential.

An ability to manage people is also essential, providing support through probationary periods and the appraisal process to encourage the development of junior team members will be a key aspect of the role. Monitoring staff attendance and roster administration will also form an integral part of the role, ensuring the staffing and skill mix is correct for service delivery.

The post requires versatility and flexibility.  We are looking for an individual who has a drive to deliver the best possible service for our patients in line with the Trust values. An ability to look at different ways of working which supports the fluctuations of the service needs will be a key skill we are looking for you to demonstrate.

Person specification

Qualifications, knowledge and experience

Essential criteria
  • NVQ Level 4 or equivalent experience e.g. good knowledge across a range of administrative work procedures including non-routine elements
  • Educated to GCSE (or equivalent) standard, with a pass in English and Maths
  • Experience of administration in a customer- focused environment
  • Experience of dealing with non-routine and complex problems, progress chasing, resource and staff allocation
  • Ability to compose correspondence from fragmented instructions
  • Experience in delivering training sessions
Desirable criteria
  • Previous experience of working in an acute hospital setting
  • Competent in the use of ESR and Healthroster
  • Supervisory or office management experience
