The role of Llais is to engage with and listen to the patients and public of Wales. We do this by reaching out to people in their local communities, hearing their views and understanding their experiences of health and social care. People Services Support Assistant Role
A fantastic opportunity has become available at Llais for a People Services Support Assistant, Band 4, 37.5 hours per week.
This is a hybrid role, with both remote and office-based working.
The ability to communicate in Welsh is desirable.
We are looking for a highly motivated and enthusiastic individual to join our friendly People team (Human Resources), working closely with our People & OD Business Partner, you will support employees across every stage of the employee journey from recruitment through to exit.
This position is essential for maintaining an efficient HR service playing a key part in maintaining a supporting and engaging workplace culture that aligns with our commitment to providing exceptional services to the people of Wales.
You will need to be able to communicate confidently with good interpersonal skills and an empathetic approach, aligning to our values
The position forms a key part of the People Team (Human Resources) in providing a first point of contact for employees within the organisation. We are looking for someone with first hand experience of working within a HR role.
The postholder will be required to support colleagues (both verbally and in writing) and determine the best course of action in response to the query. This could be directing the contact to the correct policy or attempting to resolve more basic/routine queries immediately or escalating more complex queries to the appropriate person in the team. Therefore, some analysis is required to determine if it’s possible to deal with the query themselves by providing advice, sign posting to the correct policy or process or referring to more senior colleagues if it requires more than the provision of advice from a range of options
Main Duties of the job
- Co-ordinating recruitment requests including placing job adverts, collating applications for shortlisting, undertaking pre-employment checks for new appointees
- Take and transcribe formal minutes at various Employee Relation meetings or hearings eg: investigation/disciplinary/grievance/wellbeing & sickness absence meetings, ensuring minutes are transcribed accurately and distributed accordingly
- Provide first line advice to staff and managers in response to general queries in relation to HR processes, terms and conditions and procedures including management of the Workforce email inbox, ensuring queries are responded to appropriately and in good time
- Handling sensitive, potentially contentious and confidential information and data and using tact, diplomacy and persuasive skills where cooperation is required. Ensuring data is stored meeting all principles of Information Governance
- Postholder in the main will be expected to work independently within defined process, policies and guidelines and will have the discretion to decide when something requires escalating to their manager or more senior colleague
