Job overview

  • To co-ordinate the provision of accurate, reliable and timely medical staffing information in relation to vacancies, recruitment, on-call rotas and Women's Directorate approval. 
  • Regular liaison with the Medical Staffing resource teams across BCU to ensure information is relevant and accurate.
  • The retrieval and tracking approval process for posts that require Womens directorate approval.
  • Working closely with the Service Manager and Lead Manager, as well as the Clinical Director to ensure medical staffing is sustainable to provide a quality service for BCUHB.
  • To make presentations at appropriate meetings when required.
  • Any other duties relating to the requirements of medical staffing issues.

The post holder will be responsible for the provision of timely, accurate and reliable data relating for all HB Medical Staffing issues. 

Using independent judgement, the post holder will be responsible for the day-to-day operational co-ordination of medical staffing issues within the sub-specialities of the HB including the on-call rotas for Obstetrics & Gynaecology, Glan Clwyd Hospital.

Main duties of the job

Key aspects of this post include: 

  • Co-ordinating and overseeing the smooth running of doctors’ shift patterns in line with the New Deal – Junior Doctors Hours/European Working Time Directive.
  • Co-ordination of all leave arrangements and prospective cover for Consultants’ and junior medical staff.
  • The post holder will work closely with the health boards New Deal Co-ordinator in monitoring the shift patterns on a regular basis to ensure continued compliance with New Deal and EWTD.
  • The post holder will assist in the production of weekly/monthly duty rosters for Consultant and junior medical staff within sub-specialties of the HB.
  • The post holder will also undertake ad hoc reports and projects as and when requested by the HB Chief of Staff, Head of Programme or, Management Team. These reports / projects will be in line with the responsibilities of the grade of the post.
  • Excellent written and communication skills are required for this post, as well as the ability to prioritise work and meet deadlines.
  • The post holder will be required to maintain strict confidentiality at all times.

Detailed job description and main responsibilities

  1. To assist with the day to day operational co-ordination of Consultant and junior medical staffing issues within the service.
  2. To manage, on a daily basis, the Consultant and junior doctors on call rota. 
  3. On notification of sickness absence, identify where there is a shortage of medical staff cover and identify cost effective solutions.
  4. To proactively identify where there will be planned shortages of cover either for on-call or ward work, and find cost effective solutions for the periods, in liaison with Consultant medical staff, and the medical staffing department.
  5. Devise the duty rosters for Consultant and junior medical staff, ensuring all services are adequately covered, and ensuring all relevant people are informed of any changes to the rota, e.g. Switchboard, Consultant Secretaries, Ward Clerks, Nursing Staff, Administration Staff.
  6. Working in partnership with HR, maintain New Deal/European Working Time Directive shift patterns in response to new legislation and service developments.
  7. In conjunction with the BCUHB’s New Deal Co-ordinator, monitor on a regular basis New Deal compliance of all junior medical grades working an established shift pattern within all departments.

Qualifications

Essential criteria
  • Diploma level education or equivalent experience
  • Typing RSA III (or equivalent)
  • IT Literacy
Desirable criteria
  • Ability to speak Welsh
  • Desktop publishing skills
  • ECDL or equivalent level of IT experience
