Are you a highly organised administrator with excellent customer service skills and a passion for supporting patient care?
We are looking for an enthusiastic and proactive Administrator to join our Bladder and Bowel Service (BABS).
As a key member of the team, you will provide comprehensive administrative support to specialist clinicians and help ensure patients receive a responsive, efficient and high-quality service. You will manage referrals, coordinate appointments and clinics, maintain accurate records, respond to enquiries from patients and professionals, and support the smooth day-to-day running of the service.

BABS operates a flexible hybrid working model. Staff are expected to work from an office base for part of their working week and travel across the BNSSG area as required for meetings, training, service delivery, covering staff absences and other operational service needs.
This role is 26 hours per week and can be worked over 3.5 days or 4 -5 shorter days within our core opening hours Monday - Friday 8:30-16:30.
Main duties of the job
- Provide comprehensive administrative support to BABS..
- Act as a first point of contact for patients, carers, healthcare professionals and partner organisations.
- Manage referrals and associated administrative processes in line with service procedures and operational protocols.
- Coordinate and schedule clinical appointments, clinics, meetings and service activities.
- Maintain accurate patient and service records in accordance with information governance requirements.
- Support the patient journey by ensuring timely communication and effective coordination of appointments and correspondence.
- Respond to enquiries professionally and signpost patients and professionals to appropriate resources or clinical colleagues.
- Support the collection, monitoring and reporting of service data and performance information.
- Provide administrative support for recruitment, audits, meetings and service improvement activities.
- Work collaboratively with colleagues to ensure daily administrative functions are maintained, including providing cover during periods of absence.
- Contribute to a positive team culture that reflects Sirona's values of "Taking it Personally".

- Manage referrals using the medical record system and process all associated tasks within service operational protocols including flagging any urgent referrals
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
