Job Overview

Our role is to engage with and listen to the patients and public of Wales. We do this by reaching out to people in their local communities, hearing their views and understanding their experiences of health and social care. We will feed back to decision-makers to help shape and influence future services.

A fantastic opportunity has become available at Llais for a Administrative Assistant, Band 3, 15 hours per week.

This is a hybrid role, with both remote and office-based working.

The ability to communicate in Welsh is desirable.

Main Duties of the Job

The postholder will provide administrative support across a range of functions to ensure the effective running of the Llais regional office. Key responsibilities include:

  • Administration
    • Maintaining up-to-date general office filing and publication/consultation lists.
    • Processing incoming and outgoing mail, including logging and franking.
    • Receiving and checking deliveries, ensuring correct stock levels of stationery and supplies are maintained.
    • Preparing stock orders under supervision.
  • Reception & Communication
    • Acting as first point of contact for telephone calls and visitors to the office.
    • Providing hospitality to visitors and notifying appropriate staff of arrivals.
    • Taking accurate messages and ensuring timely communication of information.
    • Ensuring a tidy and welcoming office environment and presenting a professional image to the public, volunteers, and colleagues.
  • Volunteer Support
    • Assisting with coordinating meeting arrangements and contacting attendees.
    • Supporting the processing of volunteer invoices and travel expenses.
  • General Secretarial & Digital Tasks
    • Producing internal communications materials (e.g. leaflets, posters) using creative software, aligned with national standards.
    • Regularly updating regional content on the Llais website.
    • Inputting, storing, and retrieving data using computer systems and survey software.
    • Supporting the annual visiting programme by entering relevant data.
    • Managing time effectively to meet deadlines and working within organisational routines and policies.
  • Meeting & Group Support
    • Supporting the organisation and delivery of meetings, including preparing agendas, taking minutes, and drafting letters and reports.
    • Arranging venues and refreshments for meetings as needed.
