The South Glos. Community Paediatric department is looking for a committed and skilled individual to join our team and play a key role in ensuring the efficient day-to-day operation of the department. This is an excellent opportunity for someone passionate about making a positive impact in a dynamic and supportive environment.

In this role, you will be expected to step in for the admin manager during their absence, showcasing your leadership abilities and organisational expertise.

This is a part time position, for 28 hours per week based at Patchway Locality Hub

Main duties of the job

Organise own time and is clear and transparent in day to day working.

Leads on co-ordinating weekly admin workflow, reallocation of work during Annual Leave and Sickness and ensuring the service continues to run effectively.

Liaises with other professionals, departments, services as required.

Co-ordinates weekly, monthly and quarterly monitoring returns as required alongside Manager, helping to resolve all outstanding data queries.

Identifies issues with processes, creates solutions and implements changes in conjunction with the wider team.

Co-ordinates, monitors and supervises admin staff employed within the service, and their activity reporting any concerns to the Management Team as necessary.

Leads on developing working procedures and guidance for administrative team tasks.

Responsible for ensuring the workload within the administrative team is delivered efficiently, accurately and within set timeframes.

Liaises closely with all members of the administrative team, providing leadership and direction.

Direct management, including first level sickness management, grievances and discipline, appraisals, allocation of work, training and development.

Undertake effective employee appraisals for all managed administrative staff, identifying and agreeing individual training needs and personal development plans in line with service
objectives.

Take responsibility for own role, identifying any knowledge/skills gaps where additional support/training is needed.

Qualifications & Training

Essential criteria
  • GCSE Grade C or above in English and Mathematics (or equivalent)
  • Competent to RSA level in typing/word processing.
  • RSA 3/NVQ Level 3.
Desirable criteria
  • Additional qualifications including Administrative Qualifications, Diploma etc

Skills

Essential criteria
  • Recognised computer IT skills knowledge of Microsoft Office applications.
  • Good knowledge of the service.
  • Experience of working in the NHS.
  • Methodical approach to work organisation.
  • Excellent communicator- written and telephone skills.
  • Excellent and accurate keyboard skills and attention to detail
  • Excellent Customer Service Skills.

Experience

Desirable criteria
  • Experience of first line supervision of staff.
  • Experience of working in a fast paced admin environment.
  • Knowledge of current NHS policies and procedures.
  • Ability to work on own and act as an effective team leader.
  • Demonstrates and understands the importance of confidentiality.
  • Ability to work with all people of all levels both inside and outside the organisation.
  • Good problem-solving skills.
  • Ability to maintain relevant records and information systems.
