Job overview

An exciting opportunity has arisen for a motivated and enthusiastic individual to become an Administrative Manager for the Physiotherapy/CMATS Admin Teams in Wrexham and Flintshire and 

The successful candidate will be responsible for the day to day management of the administrative and clerical staff within the team.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply. 

Main duties of the job

Team Supervision & Leadership

  • Line manage administrative staff supporting the MSK physiotherapy and CMATS service.
  • Allocate tasks, manage rotas, and ensure adequate cover across clinics.
  • Conduct appraisals and support staff development.

Service Coordination

  • Oversee appointment scheduling, clinic bookings, and patient flow.
  • Ensure timely processing of referrals, discharges, and follow-ups.
  • Liaise with clinical Team Leads to support service delivery and capacity planning.

Communication & Liaison

  • Act as a point of contact for internal and external queries.
  • Coordinate with physiotherapists, GPs, and other departments to ensure smooth communication.
  • Handle patient queries and complaints with professionalism and empathy.

Data & Systems Management

  • Maintain accurate patient records using electronic systems.
  • Monitor data quality and support audit processes.
  • Generate reports on service activity, waiting times, and KPIs.

Quality & Governance

  • Ensure compliance with NHS policies, data protection, and confidentiality standards.
  • Support service improvement initiatives and contribute to audits.
  • Participate in risk assessments and incident reporting processes.

Operational Support

  • Assist in managing clinic templates and room bookings.
  • Oversee ordering processes and manage stock levels for the department.
  • Support the implementation of digital and process improvements.

Qualifications and/or Knowledge

Essential criteria
  • Able to demonstrate English and Mathematics to GCSE or equivalent level.
Desirable criteria
  • ILM Team Leading qualification/ willingness to learn or equivalent qualification or experience.

Experience

Essential criteria
  • Previous Administration experience.
Desirable criteria
  • Previous NHS experience.

Aptitude and Abilities

Essential criteria
  • Organisation – ability to manage diaries, set up filing systems, work to strict deadlines and prioritise tasks.
  • Previous experience of communicating confidential information.
  • Able to work independently but also as an effective team player.
Desirable criteria
  • Previous experience using the hospital WPAS or similar system.
