- PALS, Complaints and Patient Safety administration support to the Patient Experience Lead and Patient Safety Officer.
- Registering queries, complaints and keeping records via Datix Incident Reporting System
- Administration for patient safety incidents - monitoring incidents and learning responses for patient safety incident panel and providing administrative support
- Customer Service - direct communication with patients, relatives and service users
- To assist with the development and delivery of an effective and efficient governance service that will meet the needs of staff, patients, public and other stakeholders.
- To support the transformation of the service through digitisation and improved systems, processes, and procedures.
- To support the organisation’s requirement to deliver the NHS Long Term plan.
- To assist the governance team in completing tasks for both clinical governance and information governance; that will allow for legal and statutory monitoring of compliance.
Main duties of the job
- Assist with tracking and monitoring compliance in areas such as, data protection and security, health and safety, risk management, freedom of information and patient safety.
- To support and promote good practices in governance areas such as, records management, risk management and incident reporting.
- Support the team to plan, conduct and analyse audits, surveys, and compliance assessments; that will provide information about patient experience programmes e.g. Observe and Act (O&A), Friends and Family Test (FFT), and areas of compliance such as records management and data security.
- Maintain and monitor registers in accordance with legislation and statutory requirements, such as, legal claims, subject access requests, complaints, and patient safety investigations; that will allow for meeting deadlines.

Training and Qualifications
Essential criteria
- Level 3 Qualification (A-level, NVQ, BTEC, City and Guilds), in a relevant subject e.g. IT and Computer Skills, Business, Health and Social Care.
- And relevant qualification such as European Computer Driving Licence (ECDL) or equivalent knowledge of computer system(s), such as Datix, Care Identity Management (CIM2), Microsoft 365
- And experience of working in an office environment with demonstrable skills in areas such as systems and databases, administration, document and records management, data entry, data analysis, data quality
- And relevant short courses, such as communication, governance, Microsoft 365 or applications, project management, business, computer literacy
Experience
Essential criteria
- Demonstrate recent office experience or experience where interpersonal and telephone skills have been used
- Demonstrable experience of using Microsoft 365 and office applications, databases and systems, internet
- Demonstrate recent experience of working with data and use of analytical skills, attention to detail.
Knowledge and Skills
Essential criteria
- Good customer service skills, understand the demands of a client-focused organisation
- The ability to follow administrative systems and procedures
- A good working knowledge of Microsoft Office systems
