To provide an administrative service to the Central Locality HUB, ensuring that administrative systems and procedures are carried out in an efficient manner and day-to-day issues are managed proactively.  They will provide a professional and competent service by answering the HUB telephone line, managing calls, taking details, and passing them to clinical members of staff where appropriate. The role requires the post holder to meet deadlines, achieve results and work using their own initiative. 

Main duties of the job

1.      To provide comprehensive administrative support to the Hub Team including typing of letters, notes of meetings and other documentation for dissemination.

2.      To organise and prioritise own workload and work without supervision in line with processes and SOPs.

3.      Implement and maintain central filing systems for patient and staff records. 

4.      Ensure archiving of patient and staff records in line with trust policies and procedures.

5.      Undertake general administration duties including photocopying, sharing of information, replenishing documentation and supplies as required by the Hub. 

6.      Respond to both clinical and non-clinical enquires from patients, relatives and wider MDT working closely with the Hub and signpost to appropriate clinicians and other services as required. 

7.   To undertake other duties commensurate with this grade of post in agreement with the relevant line manager.

Detailed job description and main responsibilities

To provide high quality professional administrative support to the Hub. 
To support the Team Manager and the Hub Team to implement efficient office systems and procedures. The post holder is required to communicate effectively and courteously with a range of internal and external people ensuring high standards of customer service is met at all times.

  • GCSE English and Maths or equivalent
  • • Relevant office/admin experience
  • • Good working knowledge of Microsoft Office
  • • Demonstrate an ability to prioritise a workload and
  • • Ability to use initiative to resolve basic problems
  • • Excellent interpersonal communication skills

  • • Ability to work as part of a team
  • • Ability to be flexible with approach to work
Desirable criteria
  • NVQ 3 in Business Administration or equivalent experience
  • • Demonstrate a high level of accuracy
  • • Knowledge of the patient Record systems
  • • Proficient in Microsoft Office functions.
