To provide office, administrative and general non-clinical organisational support to the Therapy Hub working under the direction or supervision of the Therapy Hub Senior Administrator.
Main duties of the job
- Provide an efficient and effective administrative service as required by the Therapy Hub Team.
- To deal with enquiries via telephone and face to face, communicate information effectively, taking good quality information and ensuring messages are passed on clearly and within timescales set. The post-holder will be required to use their initiative, taking messages as appropriate whilst adhering to the Data Protection Act.
- To book therapists appointments and to update appropriate systems to record booking as per in house training.
- To make arrangements for meetings if required including the distribution of agendas and minutes, booking venues and catering.
- To maintain effective systems for the filing, retrieval and archiving of documents and correspondence.
- To maintain records systems within the Therapy Hub Team, including the maintenance, filing and archiving of patient notes.
- To maintain patient electronic record system including inputting patient contacts. To support the management of patient waiting lists by being responsible for booking in patient appointments, inputting patient contacts and assisting with patients discharges on the RIO patient database system as required.
- To maintain and manage appropriate database(s) for the Therapy Hub Team to support waiting list management, including generating reports when required.

Qualifications and Training
Essential criteria
- GCSE Maths and English Grade C or above or equivalent/or equivalent experience.
Desirable criteria
- RSA II in Word Processing or equivalent.
- European Computer Driving Licence (ECDL).
Experience
Essential criteria
- Experience of working to work to deadlines.
- Experience of Microsoft Word, Excel and Outlook.
- Experience of filing systems.
- Experience of diary management.
Desirable criteria
- Relevant experience working within the NHS.
- Experience of the Electronic Staff Record (ESR).
- Knowledge of Rio system.
- Clerical/administrative experience.
