Job overview
The West Midlands CAMHS Provider Collaborative (WMCPC) Business Support Administrator will provide comprehensive administrative, operational and business support to members of the WMCPC and the service as a whole.
The post holder will be responsible for undertaking a wide range of administrative and secretarial duties, which include the receipt of all correspondence, booking of patient medical appointments, attendance at designated meetings recording accurate notes. Additionally, the role includes inbox monitoring, reporting and other correspondence as required by the Core team.
The successful candidate will act as a focal point of contact and be responsible for the dissemination of information, messages and enquires for the Core team. They will also be required to liaise with multidisciplinary team members, other health professionals, GP’s, Social Workers, Service Users, Carers, and any other appropriate external agencies.
Main duties of the job
- To actively support the WMCPC with the administration of the service.
- To support with administrative processes around effective management of the inbox.
- To support prioritisation of team calendars with professional commitments, managing diaries and being the contact point.
- Typing of day-to-day correspondence and reports on behalf of the professionals working within WMCPC, using a PC with Windows based software, Excel, PowerPoint & Word.
- Acting as a focal point for the team; liaising between stakeholders via face-to-face, telephone and written communication, instigating appropriate action, accordingly, as befits the sensitive and complex nature of the information involved, while communicating in a timely and effective manner.
- Answering administration-related queries.
- To report and prepare weekly progress updates and disseminate to the team.
- Taking responsibility for the WMCPC mailbox ensuring that both professionals and external stakeholders receive a timely response to any queries or requests.
- To assist in the organisation and smooth running of WMCPC meetings with both internal and external stakeholders. Administration responsibilities will involve taking minutes/action notes and maintaining action log.
- To work on own initiative with minimal supervision, prioritising own workload in line with objectives of the WMCPC.

Essential criteria
- Good general level of education – 5 GCSE’s including English and Maths.
- Business / Administration NVQ level 3 or equivalent
Desirable criteria
- RSA Level 3 or equivalent -word processing/typing qualification
Knowledge and Experience
Essential criteria
- Demonstrable Senior Administrator experience.
- Good telephone manners
- Computer Literacy – Competent with MicrosoftOffice, Microsoft word, Excel spreadsheet for data management, Outlook, SharePoint, Teams
- Diary management experience.
- Working knowledge of psychological terminology
- Ability to listen to clinical discussions and take minute effectively
- Excellent communicator
