Occupational Health Receptionist / Administration Assistant

Job overview

The postholder will based within the Occupational Health Team and will undertake various administrative clerical duties within busy office environment and maintaining confidentiality at all times.
Activities will include reception duties, filing and record maintenance, data entry and secretarial work to support the administrative and nursing teams

Main duties of the job

- To provide a client focused reception service in an efficient, courteous and welcoming manner and ensure that service users and visitors are comfortable whilst waiting to be seen maintaining communication so that they are aware of any unavoidable delays.
- To accurately input data on to the dedicated OH&WBs IT system and ensure that information entered on to the system is updated accurately in line with the protocols set by key system administrators.
- To respond to telephone calls quickly and process to the appropriate member of staff or take a message and be responsible for ensuring that it is properly passed on to its intended recipient.
- To be responsible for filing and maintaining staff health records so that documentation is presented in chronological order and that folders are easily available to staff needing to access them.

Detailed job description and main responsibilities

  • To be responsible for ensuring clinic schedules are well prepared, 24 hours before, in readiness for the clinics held by the clinical team.
  • -To carry out routine office administration duties when required including opening post, scanning documents on to the OH&WBs IT system, photocopying, document shredding and other associated
    activities.
  • Responsible for ensuring all admin tasks are dealt with in line with set departmental KPI’s. this includes, but is not limited to, boking of appointments, managing the departmental generic email inbox and answering telephone queries,
  • To assist in the receipt and storage of deliveries to the department and to assist in activities to maintain the tidiness of cupboards and storage areas.
  • To provide cover for administration staff as and when required during periods when colleagues are on leave.

Qualifications & Education

Essential criteria
  • 4 GCSE grade C or above (or equivalent) including English and Mathematics
  • RSA II Word Processing Certificate or equivalent
Desirable criteria
  • RSA II Word Processing Certificate or equivalent

Knowledge and Training

Essential criteria
  • Must be able to input data with the upmost accuracy.
  • Must be well organised, able to prioritise and meet deadlines.
  • Experience of working in an Office Environment
  • Knowledge, understanding and experience of using IT systems, including Word, Outlook, Excel, Power Point and Access
  • Experience of using database systems
Desirable criteria
  • Able to use initiative and work independently referring to manager when appropriate.

Experience

Essential criteria
  • Work well in a team environment.
  • Competent in the use of VDU throughout the working day.
Desirable criteria
  • Flexibility to meet the needs of service demands.
  • Ability to lone work and be self-motivated
