The post holder will provide a comprehensive and efficient secretarial and administrative service to the team. The postholder will provide an empathic and sensitive point of contact for patients/relatives/carers/GPs and other Health Care Professionals. The postholder will possess knowledge of secretarial practices, software programmes, understanding of medical terms and good organisational skills. The postholder will have a basic knowledge of work procedures, some of which will be non-routine.
Main duties of the job
To provide a complete confidential secretarial and administrative service for the Colorectal Nurse Specialist team in a timely manner adhering to Trust policies and procedures. To occasionally organise patient meetings, educational events, stoma Open Days or make travel arrangements.
To provide a point of contact for patients, relatives, General Practitioners, other Consultant/medical staff and departments and take appropriate action to ensure effective communication between members of the team. To use judgement and discretion in the urgency of reporting such information to senior colleagues. Some calls will be of a sensitive/distressing nature and the ability to act in a professional and sympathetic manner is essential.
To type from audio and clinic letters, general correspondence, result letters, discharge summaries, reports etc, requiring the use of medical terminology. Some documents may be of a complex or distressing nature. To record and distribute minutes from departmental meetings
To understand colorectal patient pathways and provide information and reassurance in a professional manner and deal with queries using judgement regarding when to refer to senior colleagues.
Able to prioritise workload in a timely manner and liaise with other health professionals in order to ensure relevant results or correspondence are available.

Essential criteria
- OCR II text/word processing
- NVQ 3 Administration
- GCSE (or equivalent) in English, at Grade C or above
Knowledge and Training
Essential criteria
- Willing to attend in-house service training
Desirable criteria
- Knowledge and understanding of medical terminology
- Knowledge of Hospital Information System
Skills & Experience
Essential criteria
- Minimum of 2 years’ secretarial/administrative experience
- Experience of audio typing/touch typing
- Excellent organisational skills
- Excellent time management skills
- Excellent judgement and diplomacy when dealing with enquiries
- Knowledge and understanding of Microsoft Office
Desirable criteria
- Previous experience of working in an NHS environment
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
