Job overview
This role is an opportunity for a hardworking and professional individual to join the Orthoptic Administration team at Walsall Manor hospital.
The service currently consists of 6 Orthoptists, 2 Optometrists and 2 Administration staff.
The contract is part time (30 hours) over a 5 day working week, with the opportunity for flexibility on working hours and days.
The main role of the job is to assist with the day to day running of a busy clinical department, for example, reception duties, collecting and preparing patient notes, receiving referrals and taking phone calls. The candidate should be computer literate, have a good manner with patients and the public.
Although experience in these areas would be desirable, full training would be provided to the right candidate.

Main duties of the job
· To manage patient telephone / email queries on behalf of the Orthoptic team
· To add patient referrals to the Orthoptic waitlist and to ensure orthoptic clinics are booked to capacity from the appropriate waitlists.
· To print referrals from the E-referral systems
· To manage patient appointment via electronic systems. Including Envoy and Patient engagement portal
· To book / amend / patient appointments in Orthoptic/specialist clinics as required
· To locate and collect, dock and prepare medical notes in a timely fashion.
· To ensure that any loose papers are filed in patients notes. This will include collecting notes from multiple departments across the hospital
· To provide clerical support to the Head Orthoptist and lead clinicians.
· To monitor and order stationery supplies.
· To participate in department and Mandatory training.
· To be able to liaise with GP surgeries regarding queries relating to patient details and referrals
· To communicate effectively with other members of the Orthoptic team, consultant ophthalmologists, medical and nursing staff, GPs, and other outside agencies.
· To book interpreting services.
· To communicate effectively with patients and carers regarding their orthoptic clinic appointments

Detailed job description and main responsibilities
This role is a clerical administrative role located within the Orthoptic department. The main duties of the job include answering phone calls to the orthoptic department, booking in orthoptic patients at the paediatric reception and preparing and collecting clinical notes for orthoptic clinics.
The post is situated in the paediatric orthoptic department, but at times the post holder may be situated in other ophthalmology locations in Walsall Manor Hospital.

- Previous Health Care / Patient facing experience
