Job overview
An exciting opportunity has arisen for an enthusiastic and self-motivated individual to join the Education Centre team as a Band 2 Receptionist within the Manor Learning and Conference Centre (MLCC).
This post is ideal for an individual who is a good team player with excellent customer service and communication skills with the ability to work on your own and have a flexible approach to cover service requirements.
The position is for 30 hours per week, between the hours of 8.00am and 5.00pm on a flexible basis as the service requires.
Some evening and weekend working will occasionally be expected.
Main duties of the job
To act as MLCC reception point for visitors and staff to the department and co-ordinate activities within the Centre.
To work as part of the Education Centre Team and provide general administration support.
To maintain the system for room bookings from internal and external enquiries.

A new Urgent Emergency Care Centre was opened in March 2023. The two-storey development has significantly improved emergency care facilities and capacity and has provided almost 5,000 square metres of additional clinical space.
Detailed job description and main responsibilities
To receive incoming calls, filtering calls and resolving queries where appropriate. In addition, monitor electronically transmitted information via email, filtering and resolving queries where appropriate.
Monitor centre usage and report on cancellations and Did Not Attend (DNA).
To book rooms for users of the centre.
To provide support for general equipment used within MLCC, including multi-media and IT equipment in preparation for learning activities and setting up and cleaning the vending machines.
To be responsible for ensuring all rooms are adequately and appropriately resourced prior to use, reporting issues as necessary.
Participate in a rota for setting up and putting away visual display equipment and furniture within the rooms.
To open, sort, distribute and action where appropriate, incoming mail. To maintain appropriate filing and records.
Follow local procedures for recording invoices and departmental budget codes for charging purposes.
Book catering for all centre users and Trust events.
Generate catering reports for submission to the supplier, chasing outstanding requests for catering prior to submitting reports and ensuring vending machines are allocated as appropriate.
To take part in team meetings.
To log jobs with the Estates Helpdesk or outside agencies as required and monitor progress.
To maintain an accurate inventory for all equipment and resources for MLCC ensuring all equipment is well maintained and stored safely.
To present a professional appearance which gives a positive image of the Trust and act in a manner which is appropriate and inspires confidence.
There is a requirement for physical activity within this post as it will include moving and lifting of audio visual and IT equipment, moving and lifting of tables and chairs on a regular basis to provide required room layouts.
Will be expected to work during evenings & weekends on an occasional basis as required.

Qualifications
Essential criteria
- English Language GCSE C or above or equivalent
- NVQ level 2 Business Administration or equivalent
Knowledge and Experience
Essential criteria
- Previous Customer Service experience
- Demonstrates effective IT skills including proficient use of Microsoft Office applications
Desirable criteria
- Demonstrable experience in a Reception Environment
- Ability to use Bookwise booking system
- Technical Knowledge in visual display equipment
