Job overview

Community Paediatrics are looking for a highly motivated Administrative Assistant to provide essential support to our medical secretary and administrative teams at the GEM Centre. 

The post holder will provide comprehensive and efficient administrative support and will undertake a variety of clerical duties including booking / management of appointments, updating databases and responding to queries. 

This is a full time, office based position, working Monday - Friday,  at the GEM Centre, Neachells Lane, Wolverhampton

Main duties of the job

To accurately prepare notes for all attendances and ensure reports relevant to each attendance are available.

To accurately input, update and monitor patient related information onto the patient administration system and within databases / spreadsheets

To process, book in and cancel appointments for clinics, home visits and school visits.

To type and produce non-clinical letters and documents when required.

To demonstrate competent interpersonal skills with staff, young people, parents, carers and professionals on the telephone and face to face, providing routine, non-clinical information where appropriate.

To problem solve, dealing with enquiries effectively and responsively - redirecting if necessary / appropriate to do so. 

To deal with queries, checking data with staff and patients. 

To communicate information verbally and in writing and communicate routine information with patients and staff. 

To plan and prioritise own workload. 

To provide support to colleagues, both admin and clinicians as appropriate and when needed, this may include sending out letters, uploading of documentation / scanning, and inputting of data. 
To follow Trust and Local department policies. 

Demonstrates own activities to new or less experienced employees. 

Undertake surveys or audits, as necessary to own work i.e. Completes staff surveys, complete basic audit pro-formas.
