Job overview

We are looking for an organised and motivated individual to play a pivotal role within our Research and Development Department.

In this role, you will lead our reception function, offering a warm and professional welcome to patients attending the Clinical Research Centre. You will also provide high‑level administrative support to the Clinical Research Centre Manager, Research Delivery Teams, and Commercial Research Team, ensuring all service requirements and standards are consistently met.

You will contribute to the smooth running of the wider research delivery and commercial trials teams, offering administrative support as required. This may involve working flexibly across multiple research locations within the Southmead site.

The post-holder will be expected to work across both our Clinical Research Centre, and Research & Development office, located in the Learning & Research building, providing reception cover as needed.

We are seeking someone with exceptional organisational and communication skills, strong attention to detail, and the ability to use their own initiative. Self‑motivation and the capacity to work flexibly in a dynamic research environment are essential.

Main duties of the job

In this role, you will:

  • Provide high‑quality reception and administrative support to the Clinical Research Centre (CRC) Manager, Digital Transformation Lead, Research Delivery Teams and the Commercial Research Team. You will help ensure the CRC meets corporate standards and fulfils its operational responsibilities.
  • Deliver professional reception services, directing queries and escalating issues to the appropriate team members or line manager via email, telephone, Microsoft Teams/digital platforms, or face-to-face communication.
  • Manage the day‑to‑day archiving and retrieval of research documentation. This includes accurately logging, packing and dispatching materials to our external document management and storage partner.
  • Prioritise your workload effectively to meet deadlines, using your judgement to escalate concerns appropriately and to identify opportunities for improvement or innovation within the role and wider department.

Person specification

Education/Training/Qualifications

Essential criteria
  • Level 4 qualifications (such as NVQ 4, HNC, Diploma) or equivalent experience.
  • Evidence of consistent and continuing professional development
Desirable criteria
  • Undertake and maintain ICH-GCP certification.

Work Experience

Essential criteria
  • Advanced digital literacy skills, across all microsoft packages with evidence of data manipulation in excel and co-pilot proficiency
  • Evidence of independent co-ordination and proactive administrative support compliant with regulations
  • Ability to interrogate multiple data sources proactively to accurately identify required data for invoicing, supporting study feasibility assessments and accuracy of databases and systems
  • Able to communicate complex information with good communication, interpersonal, and influencing skills.
  • Able to plan and organise complex activities (e.g., patient visits, invoicing schedules, invoice management and processing).
  • Attention to detail and ability to meet deadlines.
  • Awareness of own limitations and appropriate use of escalation processes.
  • Able to work under pressure and prioritise in an appropriate and pro-wellbeing manner
Desirable criteria
  • Experience with research-related administrative processes.

Knowledge, Skills and Abilities

Essential criteria
  • Experience in handling data, including accurate data entry and maintaining confidentiality
  • Experience in financial administration, such as invoicing and tracking costs.
