Job overview
The role has responsibilities for appropriate management of private patient information on the Trust’s systems (Careflow, Bluespier, CCW etc), liaising with patients, consultants, department leads and the wider teams to support the patients’ journeys from initial enquiries and outpatient appointments through to investigations and surgeries. The role also has responsibilities for the financial aspect of private patient activity by providing quotes, liaising with Insurers, raising invoices through our invoicing systems Healthcode and Efin, taking payments and supporting the Finance Teams with invoice/payment enquiries. It will also be expected that the role will involve some marketing and business development support to the Head of Commercial Business and Commercial Director to help grow the Trust’s private patients business. Adhere to all Trust policies and procedures relevant to the position.
Main duties of the job
They will provide support to the consultants and wider teams to coordinate all the private business, from initial enquiries through to surgeries and follow up appointments. This will involve liaising directly with consultants via email, phone or face to face and/or with consultant secretaries and Trust NHS staff to help arrange the patients’ appointments and admissions throughout their episodes of care.
The financial aspect of this role is significant, involving putting together quotes for self-paying patients, liaising with insurance companies to gain authorisation for procedures/investigations, raising invoices, taking payments and working with the Finance team to help resolve payment, invoicing or credit control issues. The postholder would be expected to be competent in Excel and confident when discussing prices and payments with patients.
The postholder should expect regular contact with patients and therefore confidence in dealing with the public is essential, along with a good understanding of the high-quality customer service expected in a private patient setting. Working within this well-established and dedicated team, the postholder will need to be adaptable, personable and willing to support colleagues during leave or busy periods, whilst also being able to work independently and with a high level of professionalism.
