Job overview

We are seeking an enthusiastic, organised and proactive individual to join our Corporate Support & Sustainability Team.

You will support the management of a professional administration service  to the team and provide a personal assistant role to the Head of Corporate Support & Sustainability.

You will be a fixed term/secondment role for 12 months to cover maternity leave.

Main duties of the job

Responsible for contributing to the management of a professional administration function for the Corporate Support & Sustainability colleagues, service users and other Trust staff.

Deliver a personal assistant role to support the Head of Corporate Support & Sustainability.

Use a wide range of effective communication skills, written, verbal and electronic, including providing a range of documents e.g. letters, spreadsheets, posters, using relevant software packages.

Manage appointments, coordinate diaries, undertake complex administrative tasks following guidelines in the role of personal assistant for the Head of Corporate Support & Sustainability.

Take minutes and arrange team meetings.

Qualifications

Essential criteria
  • Educated to A level or NVQ level 3 Customer Service/ Business Admin /ITQ or equivalent.
  • Typing qualification or equivalent experience.
  • Specific technical/professional qualification.
Desirable criteria
  • Secretary qualification or equivalent.
  • Team leader/management qualification.

Experience

Essential criteria
  • Experience of working in a busy clerical/office environment or reception service.
  • Secretarial and /or administrative experience including minute taking.
  • Prioritising, planning and organising own tasks.
  • Working within guidelines.
  • Experience of dealing with difficult situations and confrontations.
  • Data entry experience and documentation.
  • Experience of IT packages – Microsoft office.
  • Experience of producing documents to a high standard.
Desirable criteria
  • Previous experience of working in NHS.
  • Previous experience of working with medical records.
  • Recruitment and Selection of staff.
  • Experience of supervising staff.
  • Experience of undertaking audits and report writing.

Knowledge
