Job overview

An exciting opportunity has arisen for a dynamic and aspiring individual to take on the role of a Clinic Administrator to work within a very busy, demanding department.

You will be responsible for providing an excellent, comprehensive Administration service to the Oncology Department.

We are looking for an enthusiastic, self-motivated individual with excellent interpersonal and communication skills, both written and verbal and the ability to remain calm in a busy environment. Excellent organisational skills are essential.

You have the ability to use their initiative and manage, prioritise and complete their workload with autonomy while working under pressure.

You will be required to liaise with staff at all levels, both internally externally of the Trust.

Main duties of the job

Ensures that Oncology clinics are ready to run.

o    Reminding patients to get their bloods done prior to their clinic appointment.

o    Chasing hospitals or pathology for blood results.

o    Requesting the relevant images or reports.

o    Sending out blood packs to patients for blood tests.

Support requests from clinical teams regarding clinics.

o    Opening or closing clinics due to overbooking, consultant leave

o    Rescheduling patients.

o    Answering and actioning emails coming through the shared inbox.

Ensure that there is sufficient stock of green blood packs in clinic areas and clinic admin.

Support the PAWS-GIST charity clinic that runs several times a year.

Provide other required administrative help: i.e., photocopying, filing, scanning, sorting the post, reception cover.

Qualifications

Essential criteria
  • Educated to GCSE level or equivalent.
  • NVQ level 2 Customer Service/ Business Admin /ITQ or equivalent experience.
Desirable criteria
  • Typing qualification or equivalent.

Experience

  • Experience of working in a busy office environment or reception role.
  • Experience of prioritising, planning and organising own tasks.
  • Working with guidelines.
  • Experience of customer service or dealing with the public.
  • Data entry.
  • Experience of IT packages - Microsoft Office.
