Job overview

An exciting opportunity has arisen for an Administrator in our Social Care Team based in the Town Hall in Peterborough.

The successful candidate will provide efficient, effective and timely administrative support for the Social Care Admin and Social Work Team Such support will include liaison with partner agencies and colleagues within the wider health and social care service, ensuring effective communication and administrative systems are maintained to a high standard.

Detailed job description and main responsibilities

  1. Undertake financial and general administrative tasks to support the service.
  2. Responsible for processing of financial information on the Local Authority Systems and assisting in keeping accurate record of transactions. This includes the processing of invoices for provider.
  3. To deal discretely and efficiently with telephone calls and to relay messages in an effective, courteous and professional manner, conveying a high level of customer care.
  4. To liaise with service users, relatives/carers, General Practitioners, other Consultants and medical staff, Community Services and any other Agency in an efficient manner.
  5. Ensure an accurate, confidential and effective service by maintaining up to date filing systems (paper and electronic) and security of information in accordance with the policies and procedures of the County Council/CPFT and relevant legislation.
  6. Assist in the delivery and development of the service using both Local Authority and CPFT IT systems. Using information systems to generate reports, documents, letters and emails.
  7. Servicing meetings – arranging dates, venues, preparing papers and agenda and minute taking as appropriate.
  8. Liaise with partner agencies to ensure appropriate service delivery.
  9. To record and maintain the integrity of data/information using agreed procedures to enable safe storage and prompt retrieval of information on the computer/IT system.
  10. To ensure that all correspondence is copied onto the Trust and Local Authority electronic records system in a timely manner.

Person specification

Education and Qualifications

Essential criteria
  • Educated to GCE/GCSE (A-C grades),or equivalent.
  • High standard of written English
Desirable criteria
  • Educated to GCE/GCSE (A-C grade) in Maths/English
  • NVQ Level 2 in Business Administration (or equivalent)

Experience

Essential criteria
  • Experience in secretarial/administrative position.
  • Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records.
  • Experience of working with the public.
  • Experience of using IT – in particular Word, Excel, Outlook, Teams (or other virtual communication platforms), and experience in using databases.
Desirable criteria
  • Secretarial/administrative experience in the NHS/Local Authority within clinical and/or corporate services.
  • Organising, attending and taking minutes/notes at meetings
  • Experience of working in a busy and demanding office environment/multi disciplinary team
  • Lived experience of Mental Health

Skills and Abilities

Essential criteria
  • Excellent communication skills and customer care skills. An ability to adopt appropriately verbal, written and IT skills.
  • High standard of typing skills
  • Ability to prioritise own workload, work to tight timescales and deal with interruptions.
  • Have a flexible approach to work and professional attitude.
Desirable criteria
  • Good understanding of the NHS/Local Authority and the way it works.
  • Ability to maintain reporting spreadsheets

Knowledge and Understanding

Essential criteria
  • Clear understanding of respect and confidentiality and be able to challenge unacceptable behaviour. .
  • Clear understanding of Microsoft Outlook, Word, Excel
Desirable criteria
  • Previous experience of using bespoke IT system (Mosaic, SystmOne)

Other

Essential criteria
  • Ability to travel and work between Trust and Local Authority sites in a timely manner.
  • Demonstrate awareness of equality and diversity within the workplace.
  • Interested in personal and team development
