We are currently looking to recruit an enthusiastic and motivated Secretarial Assistant to join Ophthalmology within the Head & Neck Unit at Peterborough City Hospital. 

The ideal candidate will possess a high degree of professionalism, are meticulous in their work and have the ability to work under pressure at times. 

Main duties of the job

To assist in the provision of an efficient, responsive and flexible service to support the secretarial team, consultants and their medical team, to assist in the smooth running, participation and efficient organisation of the daily routine duties in the Ophthalmology department. 

To provide a high volume of accurate and comprehensive typing of clinical letters, paying attention to detail at all times. 

To ensure the provision of the patient pathways, which is receptive to the needs of the patient and responsive to Trust requirements and national and local targets.  

To be responsible for office duties, including dealing with the post, scanning and filing patient documentation as necessary.

To ensure excellent customer service by dealing with incoming telephone queries appropriately and in a timely manner, upholding confidentiality at all times. 

Provide assistance to the other members of the team and assist with their workloads as necessary.

Education and Qualifications

Essential criteria
  • Educated to GCSE level standard English Language at Grade A – C (or equivalent)
Desirable criteria
  • NVQ 2 in Business and Administration

Experience

Essential criteria
  • Previous Secretarial/Office experience
  • Experience of working with the general public and/or professionals
  • Demonstrate an understanding of customer care/ability to work with sensitive and confidential information
Desirable criteria
  • Experience of using MS Office, particularly MS Word and Outlook
  • Experience of working within the NHS and an understanding of medical terminology
  • Experience of using Hospital systems

Key skills

  • Good standard of written and verbal communication at all levels
  • Organisational skills and a flexible approach to work
