Job overview

Mid Cheshire Hospital Trust are looking for an enthusiastic and self-motivated Band 2 Administration Assistant to join our Antenatal Admin team at Leighton Hospital.  The post holder will provide general administrative duties and front of house reception services.

We are looking for excellent communication and organisational skills together with a confident and pleasant telephone manner. Good IT skills as well as a keen eye for detail and ability to multitask are skills that are vital in this busy role, as you will be supporting the team with a range of administrative tasks.

You must be flexible in your working pattern as the Clerical Officer/Receptionist role requires cover between 08:00am to 17:00pm.  The working days are mainly Monday to Friday, however, occasional out of hours or weekend working may be required.

Main duties of the job

The Antenatal clinic is based within the Women’s Health Unit of the hospital on the ground floor. The post is based within the reception area, which serves as the first point of entry to the clinic.

The clinics run 5 days per week, and the environment is a busy one.

The post-holder will play an important role within the Admin Team to provide efficient and comprehensive administrative support to the midwife & medical teams to ensure the smooth running of the antenatal department. Duties will include dealing with the patients, booking them in and out of the clinic, data inputting, telephone queries, care records management and reception cover. You will also be required to cover other admin roles at times.

Detailed job description and main responsibilities

The post holder will provide reception and administrative support service within the Antenatal Clinic at Leighton Hospital. You must be approachable and accessible with a flexible approach to work. The essential requirements of this post are good telephone manner, high level communication skills, accuracy, and attention to detail. You will have good organisational skills and the ability to work both independently and as part of a team.

Excellent IT skills are essential to be able to undertake data inputting, collation of information, use of emails, etc. Full training will be provided for Trust systems.

  • Meet and greet services users, carers and visitors to the department.
  • Ensure the waiting area/reception front desk is kept tidy and keep forms and patient information stocked up where possible.
  • Answering the phones and dealing with enquiries in a helpful and courteous manner, being aware of the need to maintain confidentiality at all times regarding patients and staff.
  • Booking, cancelling, amending patients appointments using Hospital systems.
  • Monitoring the team email inbox
  • Updating patient records within the Hospital systems
  • Scanning and uploading documentation to hospital systems.
