Job overview

**This position is open to staff working at the Trust in the ‘ECT Family’ this includes current East Cheshire NHS Trust employees, both NHSP and ECT bank staff, ISS staff and volunteers at the Trust. Unfortunately, we cannot accept applications from applicants not listed within these groups.**

You will provide a 1st class, efficient & effective Executive Assistant service to members of the Trust Board & be responsible for ensuring proactive & professional service delivery.

You will have delegated authority & responsibility to act independently & handle/deliver decisions & actions.

You will be expected to organise your workload & coordinate your activities to ensure that an efficient service is provided.

You will be capable of the full administrative function of the team. It is essential that you can exercise initiative suitable to the role & fully support other colleagues in the Executive Support Team.

Hours per week: 37.5

Main duties of the job

  • To act as the first point of contact for a range of people within the Trust; demonstrating the ability to communicate complex & sensitive information to Executive Directors, Non-Executive Directors, Senior Managers & key external stakeholders such as NHS England/Improvement, Commissioning Groups, Local Authorities, Care Quality Commission, Members of Parliament & senior staff from other Trusts.
  • To work closely with Executive Directors, Non-Executive Directors, Deputy Directors & the Executive Support Team across all aspects of their work to ensure a complete understanding of their workload.
  • Use initiative in all areas of work in the absence of the Executive Directors & ensure they are kept informed.
  • Ensure that important issues that have a significant impact on the role of an Executive Director are prioritised & brought to their attention in a timely manner, ensuring that only appropriate queries are passed on & that the most appropriate people, either internal or external to the Trust deal with these effectively.
  • To manage electronic diaries by organising and prioritising the multiple & complex demands of an Executive Director, enabling them to work efficiently & effectively.
  • Management of all incoming emails, correspondence and telephone calls using a high level of resourcefulness, taking the initiative to re-route &/or respond to urgent requests as necessary, dealing with complex & sensitive information appropriately.

Qualifications

Essential criteria
  • Knowledge of the full range of administrative processes through training and relevant experience to degree level or equivalent.
  • Evidence of continued learning and development
Desirable criteria
  • Management qualification / Degree

Experience

Essential criteria
  • Comprehensive expertise, working at Board level for an NHS organisation
  • Evidence of influence on decision making
  • Specialist experience of administering Board level committees including minute taking
  • Significant experience of working in a fast-paced office environment where prioritising workload was an essential part of your daily routine
Desirable criteria
  • Experience of working across departmental and organisational boundaries to deliver specific targets and to improve services

Knowledge & Skills

Essential criteria
  • Excellent knowledge of the Microsoft office package and use of email and internet
  • Specialist knowledge of the importance and requirements surrounding the Data Protection Act and Freedom of Information Act
  • Ability to write, develop, consult, interpret, review and amend complex information
  • Management of complex diaries
  • Exceptional organisational and administration skills with an aptitude for forward planning
  • Ability to manage a number of diverse tasks simultaneously, maintaining an effective service when faced with conflicting requirements and changing priorities
  • Able to exercise discretion and demonstrate high standards of integrity, confidentiality and reliability
  • Ability to confidently communicate verbally and in writing with a wide range of individuals (including the general public) both face to face and by telephone
  • Excellent organisational and time management skills
  • Ability to work on own initiative and prioritise effectively with decision-making autonomy
  • Ability to work identify business-critical and time-critical matters with strong attention to detail
  • Ability to demonstrate composure and positive attitude and demonstrate approach that inspires confidence and trust
  • To accept and support change and improvements to practice
