Job overview

**This position is open to staff working at the Trust in the ‘ECT Family’ this includes current East Cheshire NHS Trust employees, both NHSP and ECT bank staff, ISS staff and volunteers at the Trust. Unfortunately, we cannot accept applications from applicants not listed within these groups.**

We are looking for an organised and proactive Outpatient Clinic Coordinator to join our team. This is an exciting opportunity to play a key role in ensuring the efficient use of outpatient clinic capacity across the Trust. You will manage the outpatient room booking process, support initiatives to improve efficiency and productivity.

Main duties of the job

The post holder will be responsible for managing the outpatient room booking system across all sites, ensuring efficient allocation of space and resources. They will monitor and report on room utilisation, identifying areas for improvement and supporting initiatives to increase efficiency and productivity. The role involves working closely with clinical and operational teams to resolve issues related to room usage, clinic outcome forms, and capacity planning.

In addition, the post holder will act as the main point of contact for the Trust’s electronic patient flow system, providing training and support to users. They will provide first-level line management to outpatient reception staff, including appraisals, recruitment, induction, and rota planning. The role also includes facilitating specialty-level meetings and contributing to outpatient transformation projects.

The post holder will manage information resources by collating and presenting utilisation data, developing user guides and standard operating procedures, and ensuring accurate reporting for senior management. They will maintain compliance with Trust policies, health and safety standards, and confidentiality requirements, while assisting with stock ordering and responding to staff and patient queries.

Qualifications

Essential criteria
  • Educated to A level or equivalent experience
  • Educated to NVQ level 3 or equivalent experience
  • ECDL (Eupropean Computer Driving Licence) or equivalent qualification/experience
Desirable criteria
  • Degree in relevant subject

Knowledge & Skills

Essential criteria
  • Knowledge across a range of outpatient procedures and systems acquired through work based training
  • Good verbal and written communication and interpersonal skills to build relationships with teams, and enable understanding of an outpatients department demands and challenges.
  • Awareness of current NHS priorities and targets
  • Knowledge of NHS information systems
  • Understanding of confidentiality and the Data Protection Act 1998
  • Knowledge of relevant HR/Health and Safety policies and legislation

Experience

Essential criteria
  • Previous team leader experience
  • Experience of clinic scheduling and management of clinic changes
  • Experience of instructing/training others
  • Committed to developing individual staff and teams
  • Experience of managing administrative services in an NHS setting
Desirable criteria
  • Experience of managing projects
