Job overview

We are seeking an enthusiastic, motivated and highly organised Personal Medical Secretary to join our Urology team within the Surgical Specialties CBU. This full-time role will provide comprehensive administrative and secretarial support to consultants and other clinical staff within the service, with the flexibility to support other specialties within the CBU as required.

The postholder will play a key role in delivering a high-quality service to both patients and clinical staff. Duties will include producing accurate clinical correspondence using digital dictation systems (BigHand) and our AI voice-to-text technology, Lyrebird. The successful candidate will also act as a first point of contact for non-clinical patient queries, appointment information, and communication with internal and external colleagues.

The postholder may also be required, on occasion, to provide administrative support to other services across the Trust in line with service needs.

Main duties of the job

  • Produce timely and accurate clinical correspondence, including outpatient and discharge letters, using audio typing and digital dictation tools.
  • Provide a full range of secretarial support for two Consultants, including managing telephone calls, queries and day-to-day administrative tasks.
  • Respond to non-clinical enquiries from patients, relatives, GPs, Consultants and other Trust staff.
  • Liaise effectively with departments across the hospital to support smooth patient pathways.
  • Prioritise and organise workload independently, ensuring deadlines are met.
  • Maintain confidentiality and demonstrate tact, diplomacy and professionalism always.
  • Use IT systems such as Word, Excel, email and internet applications confidently.
  • Work flexibly to support other specialties within the CBU and around the Trust when required.

  • Experience in a medical or administrative role (desirable, training available).

  • Previous NHS or medical secretary experience.
  • Knowledge of patient administration systems.
  • Experience with audio typing and digital dictation (BigHand or similar).

Detailed job description and main responsibilities

To provide a comprehensive secretarial service to consultant(s) and departmental team, within the general procedures laid down for the department.  The confidential nature of all work concerning patients must be understood and safeguarded.  The medical secretary is part of a team and must regard the interests of the patient as paramount and as such must be aware of the Data Protection Act (1998) and be aware of the consequences of the failure to comply with it.

  • Previous secretary experience
  • To take notes/minutes
  • Audio typing
  • Experience of working to tight deadlines
  • Flexible approach and able to work under pressure
Desirable criteria
  • Previous secretarial experience in the NHS
  • Knowledge of 18 weeks RTT
  • Medical terminology experience in Urology

Qualifications

Essential criteria
  • Educated to GCSE Grade A to C level in Mathematics and English or equivalent
  • Customer Service course or equivalent experience
Desirable criteria
  • AMSPAR Medical Secretarial Diploma or equivalent experience
  • RSA Typing II or equivalent experience
  • ECDL or equivalent experience
