Job overview

The post holder will provide a comprehensive, quality, confidential administration service to the Divisions and their team in support of the Support Manager/Service Manager.   A key requirement of the post is to proactively manage clinic bookings and appointments, including making recommendations and implementing any authorised changes to clinic templates to ensure best use of capacity and compliance with national targets.  The Clinic/Data Coordinator will be expected to organise their workload and co-ordinate their activities in conjunction with, and supervised by, the Support Manager to ensure that an efficient service is provided.  It is essential that the post holder is able to exercise initiative suitable to the role, and is fully supportive to other colleagues in the administrative team. 

Previous experience within a similar role within the Trust and knowledge of Outpatient processes would be particularly advantageous, although full in-depth training will be provided as part of our local induction programme.

  • Referral management – use of PCS & the NHS e-Referral system
  • Scheduling of outpatient appointments
  • Management of waiting lists
  • Monitoring the Telephone Reminder Service (TRS)
  • Managing Referral to Treatment (RTT) patient pathways in line with Trust targets
  • Monitor New and Follow up appointments
  • Monitoring Nurse/Inpatient referrals
  • Amending clinic templates
  • Reviewing clinic slot utilisation
  • Amending clinical activity in line with Rota
  • Handling internal/external appointment enquiries

Essential criteria
  • Experience coordinating clinics, patient appointments, referrals, or waiting lists
  • Ability to work under pressure and remain calm and professional when dealing with busy times or challenging situations
  • Experience of working to strict deadlines
  • Excellent organisational skills, with the ability to manage appointments, records, and competing priorities
  • Ability to maintain confidentiality and handle sensitive patient information appropriately
Desirable criteria
  • Previous experience working in a healthcare, NHS, GP or hospital enviroment
