Job overview
An opportunity has arisen for a part-time (15 hours) Medical Secretary, based within the Eating Disorders Team at Unity Mill in Belper. This will be a fixed term contract for six months.
We are looking for someone with proven secretarial skills to undertake the delivery of a comprehensive, high quality medical secretarial service to the Adult Consultant Psychiatrists and the medical staff within the Community Mental Health Team.
You will have excellent communication skills and the ability to liaise with patients, carers and all levels of staff, dealing with calls promptly and sensitively and ensuring that urgent calls are passed on as appropriate.
Excellent keyboard skills are essential as you will be responsible for the audio typewriting of clinical letters and for ensuring the Trust’s patient databases are accurately maintained.
We will provide the successful candidate with appropriate training in the necessary Trust IT systems and on-going support in their use.
This is a varied role that also includes the booking, servicing and reconciliation of clinics.
Main duties of the job
The post holder will ensure the delivery of a comprehensive, high quality medical secretarial and administrative service to the Consultant Psychiatrists and their junior medical team.
The post holder plays a central role within the provision of services and is required to exercise initiative, independent judgement and decision making within situations arising from the duties described below to ensure an effective high-quality service.
This will include managing diaries for the Consultant(s) and their team.

- To provide a comprehensive, high quality medical secretarial and administrative service to the Consultant Psychiatrist and their Medical team, to include medical and general audio, preparing correspondence, word processing of letters, memos, court reports, Mental Health Act and Home Office reports and checking the accuracy of information.
- To draft correspondence as required on behalf of the Consultant and team.
- Manage and prioritise own workload to meet strict deadlines. Required to work flexibly within the remit of the post.
- To work flexibly with other medical secretary colleagues to ensure that workload pressures and absences due to annual leave and sickness are dealt with appropriately, by using available resources.
- Act as a contact point to ensure effective communication with all outside agencies, patients and carers.
- In accordance with Trust Policies and Procedures use initiative and judgement to make decisions on action required to resolve routine and complex issues and, where appropriate, to convey information to clinical or managerial staff for action.
As an employer and sponsor licence holder, to be able to provide sponsorship to overseas nationals via the Skilled Worker route we must ensure that we adhere to the sponsorship requirements set by UK Visa’s and Immigration. Please note that as the current salary threshold is £25,000 it is unlikely we will be able to offer sponsorship for this post as without 2 years previous NHS Service at Band 3 you will commence at the bottom of the pay band which currently does not meet the minimum salary requirement for sponsorship (bank and agency service is excluded). This would apply to anyone who has current time limited right to work in the UK and would require sponsorship in the near future commencing at the bottom of the band.
