Job overview
We are looking to appoint highly organised and motivated receptionists to work in our busy Emergency Department to provide a flexible and efficient 24 hour comprehensive reception service.
All shifts are 6 hours in length & we offer various shift patterns over 7 days. Examples of some of the shift times- 06:00-12:00, 10:00-16:00, 15:00-21:00, 20:00-02:00 & 00:00-06:00- other start & finish times are available.
It is an ever changing environment which runs 7 days a week, 365 days of the year & you will be required to promote the smooth running of the Department by maintaining effective communication with patients, relatives, Multi-Disciplinary Team, other Divisions and external agencies.
Main duties of the job
- To present a professional front of house image
- Liaising with patients, families, Dr and other services both face-to-face and over the phone/email
- Provide efficient admin support to the department
- Maintain Confidentiality
- Ensure a smooth running of the Care Unit in an ever changing environment

Detailed job description and main responsibilities
1. To provide a professional and efficient first point of contact for patients, and visitors to the Emergency Department, both in person and on the telephone.
2. Accurately complete the electronic documentation of patients in order to facilitate effective patient care and to accurately input, retrieve and maintain information whilst maintaining an awareness of data quality and correcting issues as they arise.
3. To maintain effective communication with patients, relatives, Multi-Disciplinary Teams, other Divisions and external agencies in an efficient and professional manner.
4. To work effectively and flexibly with a small Administration Team during the day and be confident to autonomously and unsupervised out of hours. Ensuring shifts are covered and team meetings and training is attended.
5. Retrieval and tracking of case notes, as required, for patients emergency admissions out of hours.
6. Be responsible for booking outpatient appointments as required to ensure the continuation of care for patients.
7. Electronically file reports and other documents from the Department and print GP letters as required. Undertake general administration work to support the smooth running of the reception.
8. Arrange for the recall of patients as directed by the Duty Consultant.
9. In conjunction with the nursing staff, be aware of the wellbeing of people presenting and waiting in the Department. Raise concerns with Medical / Nursing staff of any deterioration in any person’s condition.
10. Liaise with the Trust and external agencies to establish and maintain a high standard of working relationships to ensure the efficient running of the service and report any untoward incidents to the Nurse in Charge.
