Imaging Booking Clerk/Receptionist

Job overview

  • Receive and process all Imaging referrals efficiently and timely whilst helping to maintain National and Local standards.
  • Maintain a good understanding of the Radiology Information System to create and locate imaging records to support patient care.
  • Register patients on to the Careflow system if no record can be found on RIS system prior to booking an appointment.
  • Ensure all appointments are booked on the Radiology Information System (RIS) in accordance with the Standard Operating Procedures of the 18-week RTT pathway for each modality.

Main duties of the job

To ensure all Imaging referrals are processed in a timely and efficient manner using multiple IT applications including Order Comms/ICE System, Careflow and Radiology Information Systems. 

To work within the allocated Government time scale for all appointments.

To provide accurate examination information to patients, liaise with Consultants, Radiographer and Sonographers to ensure correct appointment slots are used to maintain a professional and high-quality service.

Detailed job description and main responsibilities

These are the key areas that support the purpose of the job

  • Receive and process all Imaging referrals efficiently and timely whilst helping to maintain National and Local standards.
  • Maintain a good understanding of the Radiology Information System to create and locate imaging records to support patient care.
  • Register patients on to the Careflow system if no record can be found on RIS system prior to booking an appointment.
  • Ensure all appointments are booked on the Radiology Information System (RIS) in accordance with the Standard Operating Procedures of the 18-week RTT pathway for each modality.
  • To be aware of patient’s needs when booking appointments and make any necessary adjustments to appointment times, travel arrangements and if required, make use of the Interpreting Service
  • To provide a telephone service with a professional courteous telephone manner. To answer queries, receive and relay messages, both in person on the telephone, from patients or hospital staff, using a working knowledge of hospital procedures to maintain a high level of service
  • To use multiple systems Careflow, Radiology System, Summary Care Record to register patients, System One, Swiftque
  • To manage electronic orders on the Radiology System checking data thoroughly before sending for processing
  • To provide an efficient and high-quality service in the busy call centre
  • To ensure emails are actioned and responded to in a prompt and timely manner
  • To receive and process paper referrals efficiently and quickly whilst helping to maintain National and Local Standards
  • To communicate at a high standard of written communication over email correspondence on a regular basis
  • To input and update the Radiology Information System, ensuring accurate patient computer records are maintained whilst achieving a high standard of data quality
  • To carry out general clerical duties including filing, photocopying, and opening and processing post
  • To work effectively in a team, supporting others and maintaining good working relationships
  • To keep and up to date with organisational changes to provide responsive and efficient service
  • To carry out any other duties this may be delegated from time to time by the Co-ordinators and the Appointments Supervisor
  • Always maintain strict confidentiality, relating to staff, patients, and the Trust’s operations
  • Be adaptable to work with the team when booking appointments

Qualifications

Essential criteria
  • Educated to GCSE standard (or equivalent) GCSE Level 9-4

Experience

Essential criteria
  • Experience of dealing with the Public/Customer Service experience
  • Experience of working with a range of Microsoft Office packages (eg Word, Excel and Outlook)
  • Experience of working in a busy team in a call centre environment
Desirable criteria
  • Previous experience in a hospital or other healthcare environment
  • Previous receptionist experience

Skills and Knowledge

  • Ability to prioritise workload
  • Excellent communication skills, with the ability to work under pressure
  • Customer care skills
  • Good telephone manner
  • Good IT/Keyboard skills
