Job overview

A vacancy has arisen for an Administrator in the  Chesterfield  Community Mental Health  Community Living Well Team in Chesterfield.

The job role will consist of carrying out standard administration responsibilities, supporting the  people accessing our services and its clinicians.

You will be registering patients for the team using the electronic patient record, answering telephone calls, supporting reception with meeting and greeting patients, families and carers and members of the public, supporting letters being sent on IT systems, ordering stock, updating lists, taking messages and organising meetings.

Detailed job description and main responsibilities

Provide administrative support to the Chesterfield CMHT, including a variety of administrative tasks.

Use of Microsoft IT Packages, e.g. Word, Excel.  Access and disseminate information via email.  Knowledge of Lorenzo and Systmone would be desirable.

Ensure the maintenance of accurate and efficient filing systems, including both paper and computerised systems ensuring strict confidentiality of client identifiable information.

Taking of notes and organisation meetings if requested by staff / Manager.

Undertake general clerical tasks, including photocopying, filing, processing of mail etc.

Undertake any other appropriate duties as may be delegated from time to time by Nominated Supervisor / Manager.

Person specification

Qualifications

Essential criteria
  • RSA Word Processing/Typing Grade II or equivalent Typing qualification / demonstrable experience.
  • GCSE English language – minimum grade C
Desirable criteria
  • ECDL or equivalent IT qualification / demonstrable experience.

Skills

Essential criteria
  • Good standard of spelling and grammatical accuracy.
  • Excellent written and verbal communication skills
  • Excellent Organisational Skills
  • Ability to work as part of a team
  • Ability to prioritise and work to the required standards within defined time limits
  • Ability to work on own initiative with minimum supervision
Desirable criteria
  • Ability to audio type

Knowledge

Essential criteria
  • Experience of using Microsoft computer packages
  • Previous Clerical / Administration experience
  • Experience of dealing with telephone enquiries
  • Willingness to undertake a wide range of administrative duties
  • Knowledge & skills related to individuals with a learning disability (desirable)
