Job overview

A vacancy has arisen for an Administrator in the Children's Complex Health Admin Team in Derby.

The job role will consist of carrying out standard administration responsibilities, supporting the Neurodevelopmental pathway.

You will be supporting the waiting list co-ordinator team within the neurodevelopmental pathway, answering telephone calls and taking messages, replying to emails to offer support and signposting to families, carers and other professionals and support letters and correspondence being sent on IT systems.

Main duties of the job

Duties will include but are not limited to the following:

•         To provide administrative support to the Children`s ND Pathway.

•         To act as first point of contact for any enquiries from clients, parents/carers, other colleagues and outside agencies, whilst demonstrating confidentiality and discretion.

•         To liaise with the health professionals for the service. 

•         Ensure that information is up to date ready for appointments.

•         Sending out of appropriate documentation to parents/carers/patients as required.

•         Checking, amending and updating of documentation.

•         Exercise independent judgement and initiative to resolve problems or referring them to the appropriate person.

•         Ensuring documents, letters and reports are formatted and distributed timely and accurately within the target limits set.

•         Inputting data onto TPP SystmOne ensuring information is input in a timely manner to ensure the database contains accurate up to date information.

•         To be compliant with relevant Trust Operational, Human resources and Health and safety training.

Detailed job description and main responsibilities

Provide administrative support to the Children's Complex Health Neurodevelopmental pathway, including a variety of administrative tasks for an extensive list please see job description.

Use of Microsoft IT Packages, e.g. Word, Excel.  Access and disseminate information via email.  Knowledge of SystmOne would be desirable.

Undertake general clerical tasks, including photocopying, filing, processing of mail etc.

Undertake any other appropriate duties as may be delegated from time to time by Nominated Supervisor / Manager.

 Participate in Individual Performance Review and Personal Development plans on an annual basis and to undertake training and development as identified by the requirements of the post.

 Work with other administrative colleagues to collectively implement policies and procedures in an effort to implement more efficient working practices.

 Support other administrative roles in the children’s complex health team service to carry out general administrative procedures as listed above as needed and requested by the children’s complex health admin manager.

Qualifications

Essential criteria
  • RSA Word Processing/Typing Grade II or equivalent Typing qualification / demonstrable experience.
  • GCSE English language – minimum grade C
  • Working knowledge of Microsoft packages, Word, Access, Excel & Outlook
  • Understanding of confidentiality and the Data Protection Act

Skills

Essential criteria
  • Good standard of spelling and grammatical accuracy.
  • Excellent written and verbal communication skills
  • Excellent Organisational Skills
  • Ability to work as part of a team
  • Ability to prioritise and work to the required standards within defined time limits
  • Ability to work on own initiative with minimum supervision

Knowledge

Essential criteria
  • Previous Clerical / Administration experience
  • Experience of dealing with telephone enquiries
  • Willingness to undertake a wide range of administrative duties
  • Knowledge or previous use of Systmone
Desirable criteria
  • 1 years previous NHS admin experiance
