Job overview

This role will be responsible for assisting in the provision of a comprehensive and confidential clerical and administrative support service to Children’s ADHD admin team, to ensure an efficient service, and cover for absences in different teams as and when required. 

Main duties of the job

To assist in the provision of a comprehensive, efficient administrative support to the Children's Complex Health ADHD admin team under the supervision of the ADHD Co-Ordinator to ensure an effective service is given to all  service users.

To monitor voicemails and emails accurately taking and relaying messages and addressing all enquiries made by service users, in a discrete and helpful manner.

Working on own initiative, prioritising and delivering a service that covers a vast geographical area that requires organisational skills and communication skills to co-ordinate the service from an admin perspective.

Provide a comprehensive support service to the designated team including typing/word processing of letters, reports and other routine correspondence.

Sending SMS text reminders to reduce service rate of ‘was not brought appointments.

Accepting electronic referrals from internal departments.

Supporting the  smooth delivery of admin services; being able to raise internal concerns, impacts and improvements within the team. 

Receive and make telephone calls, taking messages and dealing with enquiries appropriately and ensuring accurate and timely communication of messages.

Provide cover for other admin teams within the Children's Complex Health team as required and designated by the Nominated Supervisor / Manager.

Detailed job description and main responsibilities

To assist in the provision of a comprehensive, efficient administrative support to the Children's Complex Health ADHD admin team under the supervision of the ADHD Co-Ordinator to ensure an effective service is given to all  service users.

To monitor voicemails and emails accurately taking and relaying messages and addressing all enquiries made by service users, in a discrete and helpful manner.

Working on own initiative, prioritising and delivering a service that covers a vast geographical area that requires organisational skills and communication skills to co-ordinate the service from an admin perspective.

Provide a comprehensive support service to the designated team including typing/word processing of letters, reports and other routine correspondence.

Ensure appointment letters are created and sent in a timely manner and co-ordinate the nursing teams rotas on System one to reflect their individual working pattens, being able to identify that appointments are face to face or phone.

Sending SMS text reminders to reduce service rate of ‘was not brought appointments.

Ensure effective support and rebooking of appointments as required. 

Accepting electronic referrals from internal departments.

Supporting the  smooth delivery of admin services; being able to raise internal concerns, impacts and improvements within the team. 


Support the team with room bookings and booking of appointments as required.

Ensure the maintenance of accurate and efficient filing systems,  ensuring strict confidentiality of client identifiable information.

Prioritise and undertake general clerical tasks, including photocopying, filing, processing of mail etc.

Receive and make telephone calls, taking messages and dealing with enquiries appropriately and ensuring accurate and timely communication of messages.

Provide cover for other admin teams within the Children's Complex Health team as required and designated by the Nominated Supervisor / Manager.

Person specification

Essential

Essential criteria
  • RSA typing Grade ll or equivalent qualification or demonstratable experience.
  • Working knowledge of Microsoft packages, Word, Access, Power point, Excel & Outlook
  • English GCSE Grade C or equivalent
  • Minimum of one years’ experience in an office environment.
