Job overview

The overriding purpose is to support the provision of highest quality patient care through personal actions and continuous improvement. 

To effectively and efficiently undertake administration duties including face to face and telephone queries to support the recruitment team and the wider Human Resources Department. 

To provide and be responsible for the smooth operational support of the HR centralised recruitment programmes. 

To provide other HR administration processes when the department workload demands to support the HR function.

Main duties of the job

The HR Department provides strategic and operational support across the Trust, ensuring services are delivered effectively, compliantly, and in line with Trust policies and employment legislation.

Key responsibilities include supporting recruitment and selection processes, advising managers on vacancy approval procedures, arranging interviews, conducting ID, right-to-work and visa checks, and providing guidance to managers, staff and candidates. The role also involves managing recruitment enquiries via telephone, email and Trac, maintaining confidentiality at all times.

The postholder will undertake a range of administrative duties, including filing, scanning, photocopying, handling post, maintaining employee records, and providing reception support to visitors, staff and job applicants. Accurate maintenance of HR systems, including Trac and ESR, is essential to ensure employee data remains up to date.

Working closely with HR colleagues, payroll, rostering teams and managers, the role supports onboarding processes, payroll deadlines and staff inductions. The postholder will organise and prioritise workloads, respond to changing demands, provide cover for colleagues when required, and contribute to a high-quality HR service.

The role requires effective communication, sound judgement, strong organisational skills and a commitment to equality, respect, confidentiality, health and safety, and excellent customer service.

Detailed job description and main responsibilities

Support the Trust’s recruitment and selection processes, ensuring compliance with employment law, Trust policies, and best practice.
Advise managers on vacancy approval and recruitment procedures using Trac.
Arrange interviews, coordinate interview panels, and support recruiting managers throughout the recruitment process.
Conduct ID, right-to-work, and visa checks for new employees.
Respond to recruitment enquiries via telephone, email, shared inboxes, and Trac.
Provide guidance and troubleshooting support to managers, staff, and candidates.
Maintain accurate employee records and update HR systems, including Trac and ESR.
Support onboarding, induction, payroll, and workforce administration processes.
Liaise with HR colleagues, payroll, rostering teams, and managers to ensure accurate employee data and timely processing.
Provide reception and customer service support to visitors, staff, managers, and job applicants.
Carry out general administrative duties including filing, scanning, photocopying, and processing post.
Organise and prioritise workload effectively, responding to changing priorities and service demands.
Assist in covering colleagues’ duties during periods of annual leave or absence.
Provide basic advice on HR policies, procedures, and Agenda for Change terms and conditions.
Maintain confidentiality, professionalism, equality, and high standards of customer service at all times.
Support health, safety, and wellbeing within the HR Department.

Person specification

Knowledge and Requirements

Essential criteria
  • Advanced computer and keyboard skills
  • Excellent communication and organisational skills both verbal and written.
  • Customer Care experience
Desirable criteria
  • Knowledge of Agenda for Change Terms and Conditions
  • Knowledge of local policies and procedures.
  • Knowledge of employment law, right to work legislation and criminal records checks
  • Knowledge of HR systems and procedures

Qualifications- Academic/ Craft/ Professional

Essential criteria
  • Maths and English to GCSE Grade C or equivalent
  • NVQ level 3 in Administration or equivalent experience
Desirable criteria
  • CIPD membership and/or qualification at any level

Further Training

Essential criteria
  • Willingness to undertake relevant training as identified

Experience

Essential criteria
  • Previous experience working in an office
  • Ability to prioritise workload when under pressure and meet tight deadlines
  • Previous experience using online systems
Desirable criteria
  • Previous NHS or HR experience
  • Experience of using e recruitment solutions e.g. Trac or NHSJobs
  • Experience in using ESR
