About the role

In this pivotal role, you’ll primarily support NHS Cornwall and Isles of Scilly (CIoS), in maintaining key HR systems (such as ESR), supporting the development of online HR information, and ensuring our People Team processes are delivered efficiently. You’ll be a central point of contact for workforce data and the day‑to‑day administration that underpins our People services.

Main duties of the job

What you’ll do
Create, maintain, and administer HR databases and spreadsheets, including IRIS  

Maintain and update establishment control processes to ensure accurate and up-to-date workforce information  
Carry out payroll administration, including processing timesheets, contract variations, and related documentation  
Administer new starter, contractual change, and leaver processes to support timely and accurate workforce transactions  
Support the ICB’s redeployment process, including reviewing and authorising vacancies in line with system redeployment protocols  
Ensure accurate and secure retention of information within individual personnel files . 

Support the smooth running of the HR office, including actioning correspondence, and providing general administrative support to the team

Updating calendars, arranging and supporting administration of organisational change related meetings, as required.
Assist with the collation and production of regular or ad hoc reports  
Provide excellent customer service to internal and external stakeholders

Qualifications and training

Essential criteria
  • Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience
  • Commitment to continuing professional development.
Desirable criteria
  • Training or experience of direct line management.

Knowledge and skills

Essential criteria
  • Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access
  • Previous experience in a Human Resources or workforce environment
  • Working knowledge of ESR (Electronic Staff Record) would be highly desirable
  • Knowledge or experience of minute taking or note taking skills
  • Advanced keyboard skills with a high degree of accuracy for minute taking and data input
  • Ability to work without supervision
  • Able to work on own initiative, organising and prioritising own and others’ workloads to changing and often tight deadlines.
  • Ability to manage multiple tasks in a busy and changing environment
  • Positive, flexible and pro-active approach to work.
  • Professional, calm and efficient manner.
  • Strong communication and organisational skills
Desirable criteria
  • Knowledge of NHS issues.
  • Understanding of Data Protection Act

Experience

  • Significant administrative or relevant experience including initiating and maintaining office systems.
