Clerical Officer

We are looking for a Clerical Officer to join our dynamic team of highly motivated individuals.

We are looking for an enthusiastic and energetic individual to work in this extremely busy department. The post is both interesting and varied and requires someone to show initiative and work as a member of a team. Applicants should have a responsible attitude and be able to demonstrate good communication skills, as regular liaison is required with patients, Trust personnel and the general public.

Main duties of the job

The post holder is responsible for the efficient/accurate administration and preparation of the “to come in” (TCI) and pre-assessment clinic notes for the Endoscopy Unit, with strict adherence to and compliance with the Referral to Treatment Access Policy and Administrative Procedure Notes, (APN’s). To also cover the Endoscopy reception and Discharge lounge on a rota basis.

Saturday working will be required on a rota basis.

Detailed job description and main responsibilities

RECEPTION

  • Greet patients’ relatives & visitors on arrival – issuing wristbands
  • Sort all post and ensure it is dealt with accurately on the day.
  • Ensure iPMs/SALUS system is kept up to date
  • Attend, depart and outcome patients
  • Answer telephone calls 
  • Action emails and DQ reports
  • Pharmacy - record and take/collect prescriptions to Pharmacy daily

NOTES

  • Accurately trace notes in and out of the Endoscopy Department on IPM.
  • Collect and request notes from various departments within the Hospital.
  • Filing
  • Prepare notes for allocated clinics 

 

Person specification

Knowledge & Experience

Essential criteria
  • Demonstrable experience of managing own workload and working to strict deadlines
  • Demonstrable experience working with PC’s and Microsoft applications
Desirable criteria
  • •Trust background and knowledge of a range of iPM and Health Records/Case note Procedures

Qualifications

Essential criteria
  • • NVQ level 2 in Business Administration (or equivalent qualification) or equivalent demonstrable experience

Aptitude & Abilities

  • Excellent communication/interpersonal skills
  • Good organisational skills/prioritise workload
  • Work as part of a team and have a flexible approach to cover colleagues during absences
