Job overview

An exciting opportunity has arisen in Ear , Nose and Throat department to provide a clerical service to the SDEC (same day emergency care) and hot clinic on Lynher Ward.

To work in collaboration with staff in other areas of the service line and Trust to facilitate a streamlined service for the patient.

***Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

 

Main duties of the job

Maintain hospital notes in accordance with PHNT policies and procedures.

Receive patients, relatives and visitors to the unit.

·         Admit and discharge patients as ward attenders but also admit patients into the ward hot clinic

·         Ensure spreadsheet and clinic on iPM are kept up to date

·         File discharge summaries into the patient notes and ensure notes are traced correctly

·         Liaise with doctors and ENT admin on a daily basis for hot clinic

·         Trace notes in and out of the ward

·         Take phone calls from doctors who are adding patients to the clinic on the day

·         Liaise with doctors, nurses and admin staff from all departments

·         Distribute and deal with email, re-directing as necessary

·         Ensure patients are accurately recorded on iPM

Detailed job description and main responsibilities

GENERAL TO ALL

  • Answers the telephones in a timely polite manner dealing with patient and relative enquiries, taking advice from the senior nurse were appropriate.
  • Be competent with the iPM computer system
  • Maintenance of case notes, including investigation reports, ensuring that all contents are filled strictly in accordance with the order laid down.
  • Attend & contribute to Unit meetings.
  • Assist & teach new staff members regarding working arrangements, Trust policies and strategies.
  • Ensure work is complete and followed through at the end of the shift, communicating with colleges to ensure incomplete jobs are completed the same or following day.

 

COMMUNICATIONS & WORKING RELATIONSHIPS

  • Build and sustain effective communications with other roles involved in the health community as required to ensure good team working and collaborative working practices in particular.
  • Work collaboratively within in multi-disciplinary team and participate in the training of locum and support staff to Ward/Trust policies and routine. 
  • Daily contact with patients, relatives and all other grades of hospital staff.

Person specification

Knowledge & Experience

Essential criteria
  • Demonstrable experience in a administration role
  • Demonstrate ability to use all main software packages
  • Previous clerical demonstrable experience
Desirable criteria
  • Previous demonstrable experience in a large clinical setting
  • Proven knowledge of hospital computer systems

Qualifications

Essential criteria
  • English and Maths (grade A-C / 4-9) or equivalent standard or equivalent demonstrable experience

  • NVQ level 2 in business administration or similar
