Job overview
An exciting opportunity has arisen for a capable, conscientious and supportive Medical Secretary to join our busy and dedicated team based within the Older Persons Mental Health Team in Stockton. The role is based in Aysgarth building and benefits from free on-site parking and is easily accessed by bus.
As a member of the Admin Team, you will work alongside other medical secretaries and administrators. The office is an area of high activity, and no two days are the same, you will be an integral part of the team. Main duties of the job
Whilst having previous experience in an administrative role is essential, NHS or other health care experience is not. We are first and foremost looking for individuals with a passion for people, customer service experience, an interest in working in a health care setting and a 'can do' attitude
The Medical Secretary role is pivotal in the day to day operations of the medical and multidisciplinary teams. As part of this role, you will work closely with Consultants, Medics, clinicians, Managers and the wider team to provide the best possible care to the service user.
We are looking for someone who is able to multitask in a busy environment, communicate confidently, prioritise their workload and meet deadlines and build strong working relationships with a variety of people. You will need experience in transcribing dictations and management of appointments/diaries.

Qualifications
Essential criteria
- BTEC Diploma/Level 3 Diploma in Team Leader/Supervisor or equivalent (ie NVQ in Business Administration / RSA Level 3) OR equivalent knowledge gained through relevant work experience plus a willingness to work towards the Diploma in Team Leader/ Supervisor within an agreed timescale
- IT Qualification (i.e. ECDL Qualification, RSA, NVQ in Business Administration) OR equivalent knowledge gained through relevant work experience.
- Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above) / New GCSE in Maths and English (Grade 4 to 9).
Desirable criteria
- Digital dictation or audio typing qualification
- IT Digital Training or willingness to complete
Experience
Essential criteria
- Significant secretarial experience
- Experience of participation in service and quality improvement initiatives
- Where applicable, experience of supervising/training junior administrative staff

- Within a clinical environment
Knowledge
Essential criteria
- Comprehensive knowledge of secretarial and administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines
- Comprehensive knowledge of all Microsoft Office applications

Skills
Essential criteria
- Copy type and transcribe accurately from audiotape and/or shorthand
- Input data accurately / efficiently
- Demonstrate good organisational and diary management skills to include co-ordination of meetings and associated duties
- Communicate effectively in the English language and demonstrate both verbal and written comprehension skill
- Maintain concentration and attention to detail whilst also dealing effectively with interruptions

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
