Job overview

In order to facilitate and support the development of the Theatre service, the Department is seeking a the management of sterile trauma implants in the Department and release qualified theatre staff time in order to concentrate upon patient care, the Trauma team are seeking a current Theatre Healthcare Assistant to undertake the role of a Trauma Store Healthcare Assistant.

The aim of the role is to support the ordering, receipt and stock management of the orthopaedic implants and pharmacy within the Department, whilst maintaining a clinical role.

Main duties of the job

·         To actively participate as a member of the theatres team and be responsible for contributing to the efficiency of the department.

·         To be responsible for the efficient maintenance and organisation of T&O supplies within the Theatre department.

·         To co-ordinate the ordering, receipt, stock distribution and storage of specialist T&O supplies.

·         To monitor stock usage ensuring the delivery of a cost effective service.

Detailed job description and main responsibilities

Analytical and Judgemental

·         Assist the Team Leader to ensure that clinical practices accurately reflect the trust values.

·         Inform Team Leader/Theatre Manager if there is a change in circumstance, which may affect safe and competent practice.

·         Be accountable for own practice and take every reasonable opportunity to sustain and improve own knowledge and professional competence

·         Demonstrate the ability to manage an unpredictable workload and deal with traumatic and emotional situations

 Planning and Organising

·         To be responsible for co-ordinating the ordering of stock and non-stock items.

·         To ensure all supplies are stored appropriately, maintaining sterility and in accordance with manufacturer instructions.

·         To ensure an effective system for stock rotation.

·         To monitor expiry dates and report to T&O team leader accordingly.

·         To keep an accurate account of stock delivery against delivery notes.

·         To anticipate / predict usage of stock and act promptly to rectify short falls.

·         To respond effectively to urgent requests for stock.

·         To undertake stock takes in collaboration with the Logisitcs) and Company representatives (Consignment stock).

·         To ensure all documentation (paper and computer) relating to orders is maintained efficiently.

·         To deal with all enquiries and queries regarding the electronic purchasing (iproc).

·         To maintain accurate records of all stock & non-stock orders using manual & computer system (IP Procurement and Oracle).

·         To ensure all documentation relating to ordering is appropriately maintained in a chronological filing system in order to monitor outstanding orders.

·         To adhere to Trust Policies and propose changes to working practices or procedures within the Stores/Stock area.

·         To ensure maintenance of good relations with all disciplines of Theatre & Store staff within the Trust

·         To liaise with Team Leaders & Purchasing Department regarding the required stock levels.

·         To report all problems with supplies / stock to the T&O Team Leaders.

·         To teach a member of staff to deputise during periods of leave/absence.

·         To instigate planned changeover to sterile packaged T&O implants, working with T&O Team Leader to set stock levels on agreed system (Mat-Man) and ensure these are closely monitored during changeover period.

·         To process non-stock requisition orders for T&O Loan kits in a timely manner under the supervision of the T&O Coordinator.

·         Liaise with procurement and company representatives to assist with tracking of orders, timely delivery and identifying any discrepancies with products.

·         To manage the ordering of pharmacy stock and storage.

·         To liaise with procurement to verify and receive of orders.

·         To manage distribution and collection of x-ray badges to Trauma Team.

·         To restock, label and check Departmental cardiac arrest boxes as required.

Financial and Physical Resource

 ·         Able to demonstrate relevant IT and keyboard skills to enable electronic data collection and communication.

·         Ensure adequate stock levels of consumables are maintained and order equipment and supplies as delegated.

·         Understand and apply current manual handling policies and procedures specific to patients and equipment.

Communication

·         Effectively communicate with all disciplines, patients/clients and relatives.

·         Attend routine departmental meetings.

·         Demonstrate professional respect and support for all colleagues.

·         Demonstrate effective management, interpersonal, problem solving and decision making skills to deal with complex and conflicting clinical situations.

·         Ensure an effective, motivated and competent team to facilitate and plan the delivery of high quality patient care.

·         Be able to present complex, sensitive and sometimes contentious information where there are significant barriers to acceptance, which need to be overcome using highly developed negotiation, interpersonal and communication skills.
