Job overview
We are looking for experienced administrators to join our friendly multi-disciplinary team at Caravelle ward, Crawley hospital, West Sussex.
We have a position for 30 hours per week. This will be 4 days from 8am to 4pm.

Main duties of the job
a) To provide a full range of administrative duties that supports the Ward Manager/ Matron in the care delivery within the intermediate care units
b) To possess a comprehensive understanding of service objectives and support the team in carrying out their clerical duties effectively
c) To use effective administrative and personal skills to a group of intermediate care units ensuring that administrative systems and process are in place

Detailed job description and main responsibilities
Main tasks
a) To provide administration and clerical support on the units ensuring that an efficient communications systems are adhered to
b) Provides solutions for routine queries/concerns about services and deciding what to refer to senior staff
c) To provide essential cover for other administrative staff as requested by the ward manager
d) Able to demonstrate good interpersonal skills and communication skills working effectively as part of a team within a healthcare environment with patients,
visitors, relatives as well as medical, nursing and therapy staff
e) Use of initiative and ability to prioritise own work
f) Arrange team meetings as requested by colleagues across a designated group of ICUs
g) To be the point of contact as SystmOne champion to disseminate new functions within the system and ensure all staff are made aware of any changes
h) Support the Ward Manager in the recruitment and retention of new staff and associated processes used by the Trust e.g. NHS Jobs / TRAC
i) Assist the Ward Manager is reviewing office / administrative procedures
j) To liaise with senior nursing staff regarding forthcoming staffing requirements for Bank and or Agency staff and to assist with booking and recording appropriate cover
k) To place orders in line with set protocols, checking deliveries and ensuring they are correct
l) Under the direction of the Ward manager provide support to update Healthroster as required
m) Places orders for clinical supplies as directed by the Ward Manager or Matron
n) Ensures requisitions and invoices are checked and approved by an appropriate manager
o) Maintains accurate computer records and information on the relevant systems
p) To participate with in-service training as identified through PDR
Main responsibilities
a) Assists the Ward Manager / Matron with any review of office or
administrative procedures by inviting and collating feedback from clinical
and administrative colleagues
b) Contributes own ideas and suggestions for service improvements
c) To assist collate and maintain various staff databases as directed by their line manager
d) To assist with new staff induction, ordering uniforms and other
administrative functions required for new staff members
e) Support senior nursing staff in the production of management information including both personal and activity reports

Qualifications and/or Professional Registration
Essential criteria
- Good standard of general education or ability to demonstrate report writing and numeracy
- NVQ Level 3 or equivalent qualification and or experience
Experience
Essential criteria
- Experience of a health care or customer focused environment
Desirable criteria
- Have experience with using SystmOne electronic patient record system
- have experience with HealthRoster or other e-rostering system
Skills and Knowledge
Essential criteria
- IT skills such as excel, word and power point
- Ability to maintain and record data accurately
- Ability to write a report and keep accurate notes
- Ability to work independently within defined parameters
- Organises own workload to achieve deadlines.
- Can contribute and work as part of a team.
- Able to effectively communicate to a range of people including patients, relatives, medical practitioners
- Understands and demonstrates an ability to maintain confidentiality
- Able to remain calm in difficult situations
- Willingness to undertake job related training
