Job overview

All people across Brighton & Hove and West Sussex with a musculoskeletal condition are referred to the Sussex MSK Health service. We aim to provide people with the right course of treatment as quickly as possible, through self-management advice, physiotherapy, medication, surgery or other medical interventions.

We aim to simplify a person’s care by providing one point of contact as close to home as possible.  The post holder holds an administrative role which is central to supporting the patient through their treatment pathway. Covers all administrative aspects of the service including delivery of a reception service, managing incoming referrals, booking patient appointments, working with clinicians and resolving queries. In addition, and central to the SPCA role, the successful candidate will work as part of a 3-person SPCA team who will share the day-to-day supervision of a team of Patient Care Advisers (whose role is to be the first point of contact for the people we serve), including work planning, workload management, line management and supervision.

Main duties of the job

Senior Patient Care Advisers (SPCAs) work closely together, and as an integral part of a close-knit team of Patient Care Advisers (PCAs) who work together and support each other with the shared goal of delivering excellent patient care.

They work closely with clinical colleagues to understand their needs in order to effectively manage each patient’s treatment pathway. Along with Patient Care Advisers, they share responsibility for being the first point of contact for our patients, but they also undertake work planning, monitor performance, undertake remedial action when problems arise, and provide leadership and line management for their allocated team of PCAs.

Detailed job description and main responsibilities

Our Senior Patient Care Advisers work a split week in the Physiotherapy Departments in both Crawley Hospital and Horsham Hospital.

This role sits within the Sussex MSK Health service and is employed by Sussex Community Foundation Trust. Sussex MSK Health is an NHS service delivered in partnership between Here and Sussex Community NHS Foundation Trust.

Essential criteria
  • Educated to NVQ level 3, Certificate of Higher Education or equivalent experience

Experience

  • In an administrative role
  • Of staff supervision and coordinating work within a team to meet objectives
  • Of working with a professional team
  • Of customer care or similar service industry practices
Desirable criteria
  • Of complying with patient confidentiality (or similar) and data protection (GDPR) requirements
  • Of NHS admissions / outpatient department procedures (or similar)
  • Of patient administration and/or appointment booking systems (or similar)
  • Of dealing with upset or difficult patients / customers by telephone or face-to-face

Skills & Knowledge

Essential criteria
  • Ability to communicate effectively face to face and on the telephone with a range of people in a range of situations.
  • Intermediate level use of Word, Excel, and MS Outlook
  • Fast and accurate keyboard skills
  • Good listening skills with the ability to maintain focus, recognise possible distractions and ignore/deal with them
  • Ability to coordinate and prioritise work of a team to ensure deadlines and targets are met
  • Ability to plan and organise own work effectively and work under own initiative to achieve key performance indicators and meet demanding deadlines
  • A meticulous approach to ‘paperwork’ and data entry
  • Ability to write clear, concise, grammatically accurate communications (e.g. letters, emails)
  • Excellent telephone manner and the ability to manage calls in a professional way
Desirable criteria
  • Knowledge of SystmOne and Electronic Referral System (eRS)
  • Knowledge of hospital and care appointments systems
  • Understanding of principles of care e.g. First do no harm and patient confidentiality
